Personal Assistant

We are seeking an Administrative Assistant to join our team.
Responsibilities:
Preparing communications on the employer’s behalf — drafting, formatting, and proofreading documents
Creating and maintaining records, databases, and filing systems
Acting as the employer’s first point of contact with respect to outside vendors, partners, and contractors
Managing some communication channels, following up with external parties, as needed
Occasionally accompanying the employer on business trips to take minutes and participate in important meetings on their behalf or provide overall assistance
Scheduling and rescheduling appointments
Taking notes, writing minutes as well as copying, scanning, and faxing important documents
Conducting research on any topic the employer may require
Reminding their employer of important tasks and deadlines
Implementing and maintaining information management and administrative systems
Managing different ad hoc tasks to support their employer
SKILLS REQUIRED:
Administrative
Task scheduling and paperwork management are key to this role. While there is no specific degree needed to show this skill, a bachelor’s degree in Communications can put you at an advantage.
Problem-Solving Abilities
The daily scope of duties requires the personal assistant to resolve tasks delegated by the employer. These tasks will be related to both household and business administration, so the right candidate should always be able to make the most prudent and cost-effective decisions when needed, acting intelligently and with initiative.
Digital Literacy
The best candidates will be digitally literate. Knowing how to work with MS Office and effectively use online social media platforms.
Multitasking
With many projects running side by side, it is crucial that the personal assistant understand how to coordinate, prioritize and complete a variety of tasks on time.
Communication
At times, the personal assistant will be in charge of a variety of communication channels, making strong and professional communication skills essential.
Organizational
For both household and office tasks, organizational skills are a must. The personal assistant will at times be placed in charge of personal and office management tasks, so knowing how to handle several sequential to-do’s without getting overwhelmed is essential.
Expected hours: 10 – 15 per week
