Position Summary: We are seeking a highly organized and detail-oriented Administrative Secretary to support the daily operations of our podiatric practice. The ideal candidate will have strong administrative skills, a positive attitude, and the ability to handle a variety of tasks in a fast-paced environment. This role is critical in ensuring smooth office operations and providing excellent service to our patients.

Key Responsibilities:

  • Provide administrative support to the office, including managing phone calls, emails, and patient inquiries.
  • Schedule and confirm patient appointments, manage the appointment calendar, and coordinate with medical staff.
  • Maintain and update patient records and ensure all documentation is accurate and up-to-date.
  • Assist in the preparation of medical reports, correspondence, and other documents as needed.
  • Manage office supplies, inventory, and equipment maintenance.
  • Process patient billing, insurance claims, and payments, ensuring accuracy and completeness.
  • Greet and check in patients, ensuring a welcoming and professional environment.
  • Coordinate with other healthcare professionals and departments to ensure seamless patient care.
  • Assist with special projects and perform other duties as assigned by management.

Qualifications:

  • High school diploma or equivalent; additional certification in office administration or a related field is a plus.
  • Minimum of 2 years of experience in an administrative or secretarial role, preferably in a healthcare setting.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent communication and interpersonal skills, with a customer-focused approach.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with medical office software (e.g., EHR systems).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Ability to work independently and as part of a team in a fast-paced environment.

Working Conditions:
