Northeast Capital Group, a full-service commercial real estate firm, is looking for an organized and responsible individual to fill the role of Commercial Property Manager at our Woodbridge Corporate Plaza location in Iselin, NJ. This person will report to the Senior Property Manager and will be responsible for overseeing six commercial buildings, ensuring operational excellence, financial performance, and maintaining high-quality tenant relations. The role involves strategic management of day-to-day operations, long-term planning of property maintenance, capital improvements, and tenant occupancy.

Key Responsibilities:

  • - Maintain a positive, professional, and client-oriented attitude toward the company with co-workers, tenants, clients, and the public, whether contact is by mail, telephone, or in person.
  • - Continuously seek to improve work processes and results to better meet client's expectations.
  • - Act as the company's primary coordinator to ensure that the company’s efforts fully meet and exceed contractual property management obligations.
  • - Engage, contract, supervise, and approve invoices for all goods/services required to maintain the properties up to company and owner standards. Develop a network of emergency services and be available 24 hours, as well as for weekend coverage as required.
  • - Manage tenant relations and coordinate requests for repairs and maintenance, understanding rent charges, lease issues, and other tenant concerns.
  • - Establish and maintain collaborative working relationships between departments, coworkers, and particularly with other project team members. Prepare for team meetings in advance and act as chairperson for the meeting.
  • - Stay updated on new technologies, systems, and procedures related to property management.
  • - Direct the day-to-day activities of loss prevention, risk management, safety/security, maintenance, landscaping, tenant build-out, and other property operations for six (6) commercial buildings.
  • - Supervise a team of building engineers and all aspects of building operations.
  • - Work in conjunction with leasing agents to lease vacant spaces.
  • - Stay informed about in/out migration, property competition, and other market conditions affecting leasing and operations.
  • - Maintain building security measures, ensuring proper incident documentation and notification to owners and insurance carriers.
  • - Perform property inspections and ensure the building is in compliance with OSHA Fire & Safety Laws and assures optimal functioning of building systems (HVAC, fire safety equipment, elevators, and security systems); and general maintenance of the building with 24/7 accessibility for emergency response/coordination.
  • - Conduct service contract bidding and negotiations.
  • - Manage preventive maintenance of facility equipment, including HVAC and office equipment for all buildings.
  • - Keep records of all day-to-day maintenance and service activities undertaken at the properties.
  • - Evaluate the performance of subordinates and all outsourced vendor services.
  • - Manage vendors effectively.
  • - Comply with all corporate policies and the Occupational Safety and Health Administration Rules (OSHA) while carrying out maintenance functions.
  • - Place orders for replacement parts and equipment and ascertain the proper documentation.
  • - Coordinate and oversee all office functions at the WCP location.
  • - Coordinate and supervise in-house building engineers and monitor contract security officers and porters.
  • - Process billing and adjustments.
  • - Undertake special projects as needed.

Requirements:

  • - Experience in commercial and/or residential property management, with a proven track record of managing multiple properties across various locations.
  • - Strong leadership skills and the ability to manage teams.
  • - Excellent communication, negotiation, and interpersonal skills; capable of maintaining strong relationships with tenants, vendors, and team members.
  • - Proficient in property management software (MRI, Angus, BMS), financial reporting, and budgeting.
  • - Willingness to travel as needed to manage properties and meet with stakeholders.
  • - Being bilingual in Spanish is a plus.
