We are seeking a highly organized and detail-oriented Bookkeeper to join our team. The ideal candidate will have extensive experience in accounting and bookkeeping, particularly with QuickBooks Enterprise. This role is crucial in managing our financial transactions and ensuring the accuracy and efficiency of our financial operations. The ideal candidate will have a strong foundation in accounting principles, be detail-oriented, possess excellent organizational skills, and have the ability to work independently as well as in a team environment.

Responsibilities:

Accounting Operations:

  • Work with external accountant on the preparation and timely delivery of accurate financial and accounting reporting.
  • Ensure the company's financial records are accurate, complete, and comply with legal, regulatory, and company policies.
  • Maintain and implement effective internal controls to safeguard company assets.
  • Perform bank and credit cards reconciliations. Ensure all transactions are recorded accurately and timely.
  • Maintain accurate payroll records.
  • Process all customer orders, shipping documents and delivery schedules.

Account Payables:

  • Process and pay vendor invoices.
  • Track and manage vendor accounts.
  • Reconcile accounts payable to ensure accurate reporting.

Account Receivable:

  • Create new customers on QuickBooks
  • Generate and send invoices to clients.
  • Monitor outstanding invoices.
  • Reconcile accounts receivable for financial reporting.

Budget & Cash Flow Management:

  • Prepare and maintain budget forecasts.
  • Monitor budget variances and report performance.
  • Monitor cash flow and prepare cash flow statements.

Inventory Management:

  • Monitor and reconcile inventory.
  • Report on inventory discrepancies and assist in implementing corrective actions.

Sales Tax Filing:

  • Prepare and file sales taxes.
  • Ensure compliance with states regulations.

Investment Tracking:

  • Track and manage company investments
  • Prepare investment reports for senior management.

Administrative duties:

  • Maintain organized and accurate financial filing systems.
  • Handle general administrative tasks related to accounting operations.
  • Collaborate with other departments to gather financial information.

Qualifications:

  • Bachelor’s degree in business administration, accounting or related field preferred.
  • Minimum of 5+ years of experience working as a bookkeeper or accounting related position.
  • Proficiency in QuickBooks Enterprise.
  • Proficiency in Microsoft Office, particularly Excel.
  • Understanding of finance and accounting principles.
  • Highly detail-oriented with a high degree of accuracy.
  • Strong communication and interpersonal skills.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • High attention to detail, coupled with strong organizational and analytical capabilities.
  • Proven assertiveness and the ability to prioritize objectives while proactively seeking solutions.
  • Excellent communication skills encompassing verbal, written, proofreading, and grammar.
  • Flexibility, resourcefulness, efficiency, independence, and dependability are integral qualities.
  • Strong ability to work effectively in a team environment.
  • Proven track record of creating and implementing systems and procedures in an office environment.
