OBJECTIVE: The Front Desk Specialist is responsible for managing telephone communications, handling mail and shipments, welcoming guests, and carrying out important administrative tasks. These tasks include keeping detailed records of shipments, processing medical record requests and receipts, and notifying relevant departments and staff about important deliveries. The ideal candidate for this position is friendly, self-motivated, enjoys a busy work environment, and is capable of multitasking effectively.

 

JOB DUTIES:

  • Visitor Management: Warmly greet and assist onsite guests, providing a friendly and professional first impression.
  • Phone System Operation: Efficiently answer and direct inbound telephone calls, ensuring a courteous and helpful response to all inquiries.
  • Document and Delivery Management: Oversee the receipt, documentation, processing, notification, and distribution of mail, packages, and faxes, ensuring accuracy and timeliness.
  • Medical Records Coordination: Manage the request and distribution process for medical records from our facility to other providers, maintaining accurate logs and receiving records timely.
  • Correspondence and Tracking: Draft correspondence and maintain logs for tracking formal documents, such as requests for signatures or medical records.
  • Filing: Assist with filing tasks in other departments when assigned.
  • Cross-Training: Display willingness and ability to cross-train and perform additional tasks as assigned by management, demonstrating adaptability and teamwork.

 

SKILLS:

· Exceptional attention to detail and organizational skills.

· Excellent customer service skills.

· Strong communication abilities, both oral and written.

· Ability to work independently and stay on task.

· Proficiency in Microsoft Office applications including Word and Excel.

 

QUALIFICATIONS:

  • High School diploma or equivalent (GED) required; additional qualifications in office administration or advanced education preferred.
  • Previous experience in office administration or similar roles, especially in a healthcare or clinical setting.
  • Familiarity with medical terminology is a plus.
