Skin Lab Med Spa is looking for a part-time Receptionist to join our team. The ideal candidate must be comfortable answering phones, managing bookings through our practice applications, and performing other administrative tasks. We're looking for a responsible, flexible and outgoing professional who can maintain an upbeat attitude and treat our clients with the utmost respect.

Responsibilities:

  1. Greeting and Check-In:

    • Warmly welcome clients upon arrival.
    • Verify and update patient information.

  2. Scheduling:

    • Book and manage appointments for various services, including medical and spa treatments.
    • Coordinate and adjust schedules to accommodate staff and client needs.

  3. Customer Service:

    • Answer phone calls and respond to inquiries regarding services, pricing, and appointment availability.
    • Address and resolve client concerns or complaints with professionalism.

  4. Administrative Tasks:

    • Maintain accurate records of client treatments, appointments, and medical history.
    • Process payments, handle billing, and manage electronic health records (EHR).

  5. Communication:

    • Communicate effectively with both clients and staff, ensuring everyone is informed about scheduling changes, special offers, or treatment protocols.
    • Send appointment reminders via phone, email, or text.

  6. Compliance and Confidentiality:

    • Ensure that all client information is handled confidentially and in compliance with HIPAA or relevant regulations.
    • Maintain a clean and organized reception area, as well as assisting with the spa's upkeep.

  7. Sales and Marketing:

    • Promote special offers, memberships, or new services to clients.
    • Assist with marketing initiatives such as social media posts or promotional events.

Skills Needed:

  1. Strong Communication:

    • Clear, polite, and effective communication skills are essential for interacting with clients and staff.

  2. Organizational Abilities:

    • Ability to handle multiple tasks simultaneously, prioritize effectively, and manage a busy schedule.

  3. Technical Proficiency:

    • Familiarity with scheduling software, EHR systems, and basic office equipment.

  4. Customer Service Skills:

    • A friendly and professional demeanor with the ability to handle various client personalities and needs.

  5. Attention to Detail:

    • Accuracy in scheduling, record-keeping, and processing transactions is crucial.

  6. Problem-Solving:

    • Capability to address and resolve scheduling conflicts or client issues efficiently.

  7. Knowledge of Medical and Spa Procedures:

    • Understanding of the services offered, including any medical aspects, to provide accurate information and support.
