Thank you for viewing our job posting We are a small property management company located in Arcadia, CA. We're currently looking for a Bookkeeper/Administrative Assistant to join our team.

Bookkeeping Responsibilities:

  • Bank reconciliations
  • Data entry and income and expense coding
  • Maintain paper and electronic filing systems
  • Gathering accounting data from various online and paper sources
  • Accounts receivable and payable (rents, maintenance and utilities, loans)
  • Payroll and worker's compensation audits
  • Prepare periodic financial reports
  • Assist with monthly profit and loss reports
  • Assist with quarterly balance sheets
  • Assist in year end tax preparation
  • Communicating efficiently with a local third party tax accounting service to close books in a timely manner.
  • All other tasks assigned by the supervising employee

Administrative Tasks:

  • Ordering supplies for resident manager and paying third party vendor bills.
  • Overseeing the eviction process and scheduling.
  • Reviewing rental applications as needed.
  • Sending leases to new tenants electronically and handling the signing process.
  • Managing credit card balances for maintenance staff. Reviewing card expenses and paying cards as vendors reach their limit. Providing upper management with a review of credit card expenses.
  • Taking calls from tenants and making maintenance work orders (when the maintenance coordinator is not available).

Required Experience:

  • 1 year of Bookkeeping experience.
  • Ability to speak Spanish and English fluently.

Although not required, best applicants will also have:

  • High knowledge of Microsoft and Google cloud based products including Calendar, Gmail, cloud storage
  • Knowledge of Appfolio property management software
  • Ability to manage multiple cloud based accounts, and seamlessly move between them
  • Experience with online security protocols
  • Verifiable previous property management experience
  • Verifiable previous accounting or bookkeeping experience

Compensation and Schedule:

  • $20-$30/hour, based on experience
  • Paid sick leave and paid time off with accrual.
  • Medical Insurance (Kaiser, paid fully by the employer excluding copays)
  • Monday - Friday, 8:30 am to 5:00 pm, Lunch 12:00 pm to 12:30 pm
