Job DescriptionJob Description


JOB SUMMARY:

The Accounting Specialist’s primary responsibility is to record the agency’s day-to-day financial transactions including accounts payable, accounts receivable payments, and cash receipts. This position also provides assistance to the Accounting Operations Manager, CFO and finance team.

JOB RESPONSIBILITIES:

Accounts Payable and Cash Disbursements

  • Record and disburse all accounts payable (approx. 650 transactions monthly) by coding and entering invoices and check requests into the accounting system.
  • Ensure proper authorization and signatures on checks and forms.
  • Upload Positive Pay, check/payment listing to online banking website.
  • Allocate, code, and reconcile company credit card statements and verify documentation.
  • Collect, enter, and maintain Vendor information including W-9. Point of contact for vendors.
  • Under the supervision of the Accounting Operations Manager, process 1099’s and 1096’s at year end.
  • Responsible for setup and processing of ACH vendor payments.
  • Administers $300 petty cash account.
  • Purchase, track, and issue transportation passes and gift cards according to finance department procedures.

Accounts Receivable and Cash Receipts

  • Prepare and process bank deposits.
  • Enter/Import online donations and electronic deposits into accounting system received from the development department.
  • Ensure all bank activity is entered into the accounting system.
  • Enter receipts and receivable payments into the accounting system.

General Ledger and Reporting

  • Maintain and reconcile Grant Funded security deposit schedule.
  • Under the guidance of the Accounting Operations Manager, code and allocate employee benefits to appropriate programs and funders.
  • Assist with maintenance of systems, procedures and methods for the agency’s financial operations including record keeping, accounts reporting and the general ledger.
  • Assist with financial audits and performs other related duties as assigned by the Accounting Operations Manager and CFO.
  • Create and utilize Abila MIP Fund Accounting Reports. Prepare ad hoc reports in a timely manner as requested.

Other

  • Assist with grant billing preparation if needed.
  • Responsible for filing and archiving accounting records.
  • Responsible for adhering to the agency’s document retention and destruction policy.
  • Actively participate in monthly all-staff meetings.
  • Attend professional staff trainings as scheduled.
  • Represent the agency in a professional and ethical manner.
  • Maintain an active team approach with all staff in all work-related situations and with the staff of other agencies/organizations when collaborating on shared programs/grants
  • Perform other related duties as assigned

QUALIFICATIONS:

Bachelor of Science in Accounting or equivalent experience. At least one year not-for-profit accounting experience preferred.

KEY COMPETENCIES:

High standards for accountability, controls, timeliness, reporting and accuracy. Strong organizational skills. Competency in Microsoft Word and Excel. Proficiency in accounting software (i.e Sage, Abila MIP). Working knowledge of Generally Accepted Accounting Policies, Accrual Accounting and Fund Accounting. Strong attention to detail.
