Overview:

The Automotive Title Clerk / Administration Assistant  MUST HAVE EXPERIENCE This role plays a crucial role in the efficient operation of an automotive dealership  This position involves a combination of administrative tasks related to vehicle titles and receptionist duties to ensure a smooth workflow within the establishment. The primary responsibility is managing vehicle titles, but the individual is also responsible for providing excellent customer service at the front desk.

Title Clerk and Administration Assistant ·      Greets showroom customers and determines the nature of their visit.·      Directs customers to the correct department, notifies the appropriate person that a customer is waiting and introduces the customer to a salesperson.·      Answers incoming phone calls. Directs caller to appropriate department or individual or takes a thorough message.·      Communicates with callers and visitors in a professional, friendly and efficient manner.·      Types memos, correspondence, reports and other documents.·      Assists service customers during the morning and evening service rush whenever possible.·      Assists with clerical duties as requested.·      Maintains a professional appearance.·      Processes  and used vehicles for registration in the state in which they will be title.·      Prepares tax and title documents.·      Submits all legal transfer work to the state of Michigan.·      Verifies that funds have been collected and the correct lienholder paid off before processing title applications.·      Prepares payoff checks for new vehicles and trade-ins.·      Bills out all dealer trades and prepares Certificates of Origin.·      Maintains a system to verify out-of-state titles.·      Compiles and maintains a complete list of all outstanding title work. Reports to management on the status of any missing or problem titles and provides a current list of outstanding titles to the comptroller at the end of month.·      Signs over titles for all wholesalers who have paid in full. Prepares a monthly report to management of any funds not collected from wholesalers due to missing or incomplete title work.·      Prepares stock cards and key tag and buyers guides to put on each vehicle for used vehicles.·      Posts vehicle sales and purchases·      Processes/registers all vehicle warranties and extended service contracts, maintaining a log of all contracts processed and mailed.·      Stays abreast of title regulations. Attends seminars held by local licensing bureaus and any available training on title regulations.·      Cross-trains others to handle title clerk daily responsibilities.·      Conducts periodic training sessions for F&I managers and sales personnel regarding title regulations and procedures and issues a written memo to managers and all sales personnel whenever regulations change.·      Directs title runner in daily routines.·      Maintaining a report for the Porter to let him know which vehicles need Photos.·      Maintaining the schedule the staff, verifying what days they would be off to put a schedule together·      Maintaining prices for management·      Other tasks as assigned.


Qualifications:

  • High school diploma or equivalent; additional relevant education or training is a plus.
  • Previous experience in automotive title processing or a similar role is preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Familiarity with relevant software and computer applications.
  • Knowledge of state and federal regulations governing vehicle titles.
