Knox College invites applications for the position of College Registrar. We seek a creative and strategic administrator to lead this key office during a period of dynamic change. The Registrar is responsible for directing the central academic and student information operations. The Registrar leads the development, implementation, assessment and adaptation of registration planning initiatives, policies, procedures, and information management systems, which foster and support the academic mission of the College. The new Registrar will lead a student-focused redevelopment of central student information services to support growth and development at Knox while serving as a trusted resource for students, faculty, and administration across campus. The Registrar reports to the Provost and Dean of the College and serves as a member of the Dean’s Council.


Essential Job Functions


Strategic Management of Student Academic Records

  • Support the Knox College mission in partnership with students, faculty, and staff by supporting the implementation of a new student information system (Jenzabar One).
  • Create modern, flexible, and streamlined processes for maintaining accurate records and deploying innovative technologies to adapt to new and old challenges.
  • Promote a student-centered approach, continually improving the effectiveness and quality of services provided and delivering a high quality experience for all members of the diverse Knox community.
  • Provide leadership for the office including an Assistant Registrar and Administrative Assistant.
  • Collaborate with the Office of Admission and the Chief Financial Officer on matters related to enrollment targets, enrollment trends, transfer credit evaluations, and the development of strategies to attract and retain students.

Academic Planning, Scheduling, and Course Registration

  • Maintain accurate and confidential student records, including registration, grades, transcripts, and academic histories.
  • Ensure compliance with accreditation standards, legal requirements regarding student data privacy, and institutional policies.
  • Collaborate with academic departments and faculty to develop the annual class schedule, coordinate course offerings, and optimize allocation of educational resources.
  • Ensure the schedule meets the needs of students, balances course availability, uses campus classroom spaces efficiently, and supports timely degree completion.
  • Manage a seamless registration process for continuing and incoming students, ensuring accurate and efficient course selection and enrollment.
  • Provide support and guidance to students and academic advisors throughout the registration process.

Educational Policies and Compliance

  • Counsel students on academic rules and regulations, working in partnership with the Associate Dean of the College and other academic and student support offices to ensure full student access to the academic program.
  • Enforce academic rules and regulations, such as degree requirements, course prerequisites, and policies related to major and minor programs.
  • Collaborate with faculty committees and administrative offices to develop and revise academic policies to align with best practices and institutional goals.
  • Work with the Curriculum Committee and Academic Standing Committee to address student academic progress, manage student petitions, and identify trends in grades / incompletes / withdrawals and leave.
  • Ensure compliance with state and federal regulations related to academic processes.

Graduation and Degree Audit

  • Oversee the graduation process, ensuring students meet all requirements for degree completion.
  • Conduct degree audits to verify students' progress towards graduation and certify their eligibility to graduate.
  • Participate in planning commencement ceremonies; responsible for accurate awarding of diplomas.


Minimum Qualifications

  • A master's degree (or an equivalent combination of education and experience).

  • Strategic view of the future of higher education and a commitment to supporting the Knox community and academic program by collaborating, solving problems, and bolstering a collective approach to student success.

  • A commitment to student success within a diverse community that values rigorous engagement and full participation in the educational program

  • A solid understanding of academic policies and procedures in the broader context of higher education, with specific experience in a liberal arts context preferred.

  • Demonstrated experience managing student records, registration, and enrollment processes.

  • Strong analytical and problem-solving skills, with the ability to interpret data and provide strategic insights.

  • Proficiency in using student information systems and related technologies.

  • Excellent communication and interpersonal skills, with the ability to collaborate effectively and build partnerships with diverse stakeholders.

  • Knowledge of relevant regulations, including FERPA and accreditation standards.

  • Strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively.
