Position Summary

The Accounting Specialist is responsible for the accounting and various administrative functions of the plant. Works closely with Plant Controller to complete monthly and yearly closing on schedule, including journal entries and reconciliations. Works closely with the Production Control Manager entering and verifying sales orders. Creates and edits work orders for the production floor.

Primary Functions

  • Works closely with Plant Controller to complete monthly and yearly closing on schedule, including journal entries and reconciles weekly sales summary and other reports as requested.
  • Responsible for correspondence, clerical and other duties for Plant Controller, Customer Service Manager, Plant Manager and other managers as directed.
  • Maintains current purchase orders, receiving reports and vendor invoices. Researches and solves accounts payable issues. Handles cash advances and handles petty cash. Completes and returns sales tax-exempt certificates to the vendor. Send W-9 forms and administrative credit reports. Completes analyses when needed.
  • Maintains current accounts receivable files and generates invoices daily when shipping information is received. Updates sales daily in conjunction with invoicing.
  • Receives weekly Account Receivable status report from Division, which indicates required actions on customer accounts.
  • Contacts customers weekly for collection on invoices over 60 days old and keeps Plant Controller informed of status.
  • Maintains customer mold amortization records.
  • Routes incoming miscellaneous payments to proper locations.
  • Maintains purchase orders control files for site purchasing function.
  • Generates purchase orders for signatures and maintains vendor files.
  • Generates purchase orders when requested and follow through on purchases.
  • Verifies customer order information an enters codes when requested.
  • Updates and changes orders as directed by Production Control Manager.
  • Updates quotes for raw material price changes or other part changes.
  • Maintains summary sheets and price pages.
  • Inputs plant start changes and run related reports.

Key Qualifications

  • Three to five years in manufacturing clerical accounting capacity.
  • Thorough understanding of spreadsheets and word processors.
  • High School Diploma.

Vision: See in the normal visual range with or without correction; vision sufficient to read computer screens and printed documents.

Hearing: Hear in the normal audio range with or without correction.

Other: Ability to work overtime or occasionally on weekends with short notice.
