As the Centralized Leasing & Renewal Specialist, you will enhance the tenant experience across multiple apartment complexes by managing the move-in process. This includes overseeing paperwork, ensuring accurate data entry, and facilitating effective communication between customers and onsite management teams. You will also analyze customer information to support future marketing and development initiatives.


In addition to administrative duties, this dynamic role involves expanding our client base through networking with local businesses that could become referral sources. You will regularly travel within Southeast Texas, including areas between Port Arthur, Beaumont, and Houston, to engage with potential partners and maintain a strong presence in the community.

Key Responsibilities:

  • Customer Interaction: Handle outbound and inbound communications with residents via phone, email, and text to collect move-in paperwork, including income verification and photo IDs, within 72 hours of application completion.
  • Data Verification: Verify and update resident contact information and demographics for all new move-ins, following up with residents as needed.
  • Lease Management: Review and confirm lease accuracy seven days before move-in, updating and regenerating leases as necessary, and obtaining signatures.
  • Move-In Coordination: Ensure accuracy of move-in packets and countersign lease documents at least 48 hours before move-in.
  • Lease Renewals: Manage the lease renewal process, including negotiating terms, ensuring accuracy of renewal documents, engaging with residents to address concerns, and maintaining records. Collaborate with Community Managers and the Renewal Team Manager to resolve escalations, and track and report on renewal metrics.
  • Trend Communication: Communicate document collection and data entry trends to Operations Leadership.
  • Policy Development: Collaborate with operations to address risks and develop policies and procedures.
  • Property Tours: Coordinate property tours and site visits as requested.
  • Tech Utilization: Utilize various tech platforms and software, including Google Groups, RentCafe, Yardi, PayScan, and Rhino.
  • Resident Support: Engage with residents to answer questions, provide relevant information on product features and benefits, manage the renewal process, and ensure resident retention.
  • Problem Solving: Work with others in operations to find solutions to risk and create policies and procedures as needed.

Requirements:
  • Experience: Minimum two years of apartment leasing experience preferred; strong sales and customer service experience required.
  • Organizational Skills: Strong organizational and time management skills.
  • Customer Service: Excellent customer service skills and the ability to manage resident relationships effectively.
  • Communication: Superior verbal and written communication skills.
  • Technical Proficiency: Proficiency with tech platforms and software, such as Google Groups, RentCafe, Yardi, PayScan, and Rhino.
  • Problem Solving: Ability to identify and solve problems effectively.


Qualifications:

  • Education: High School Diploma or Equivalent
  • Experience: Customer Service or Sales experience is required; property management/leasing experience preferred.
