Position Overview: The Admin Receptionist/Secretary will be the first point of contact for clients, visitors, and guests, providing excellent customer service and administrative support. This role involves maintaining corporate files and board binders and posting accounts payable invoices while working closely with the executive and finance/HR directors.

Supervisory Responsibilities:

  • None.

Duties and Responsibilities:

  • Greet clients, visitors, and guests; determine the purpose of each person’s visit and direct or escort them to the appropriate location.
  • Answer, screen, and direct phone calls to staff; take messages and schedule appointments.
  • Receive mail, documents, packages, and courier deliveries; deliver or distribute items accordingly.
  • Perform administrative and clerical support tasks.
  • Maintain corporate files and board binders.
  • Post accounts payable invoices.
  • Perform basic filing and recordkeeping.
  • Execute other duties as assigned.

Required Skills and Abilities:

  • Excellent verbal communication skills.
  • Strong interpersonal and customer service skills.
  • Basic understanding of administrative and clerical procedures and systems.
  • Proficient with Microsoft Office Suite or related software.
  • Type 30 wpm
  • Excellent organizational Skills

Education and Experience:

  • High school diploma or equivalent required.
  • Associate’s degree Preferred

Physical Requirements:

  • Prolonged periods of sitting at a desk.
  • Ability to lift up to 15 pounds occasionally.
