Job DescriptionJob Description

We are seeking an Administrative Assistant to join our team You will perform clerical and administrative functions in order to drive company success.

Responsibilities:

  • Dispatch - Use our new operating system - Service Titan - to accept inbound requests and schedule technicians
  • Invoicing- convert estimates from Service Titan to invoices - ensure they are emails out
  • Scan incoming bills and upload to Quickbooks
  • Receive and send correspondence to vendors, general contractors and subcontractors - related to incoming orders, billing, estimates and submittals
  • Greet and assist onsite guests
  • Answer inbound telephone calls
  • Develop and implement organized filing systems
  • Perform all other office tasks and assist VP as needed

Qualifications:

  • Previous experience in construction office administration or other related fields - HVAC a PLUS
  • Strong tech skills - Office 365, Google Suite, E-mail, and general use of iPad - we are tech forward
  • Ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • ​Strong organizational skills
