Job Summary: The Medical Receptionist plays a pivotal role in the smooth operation of our medical practice. This position involves a variety of administrative tasks, from answering phone calls and greeting visitors to ensuring efficient patient flow. The Receptionist is the first point of contact for patients and visitors and plays a crucial role in maintaining a positive and organized clinic environment.

Primary Job Responsibilities:

  • Welcoming and Directing: Greet patients, clients, and visitors warmly, determine the purpose of their visit, and direct them appropriately. Provide clear instructions and information regarding appointment procedures and documentation requirements.
  • Telephone Management: Professionally answer incoming calls, promptly routing them to the appropriate personnel or department. Offer appointment scheduling, leave detailed messages, and ensure efficient call redirection when necessary.
  • Patient Flow: Facilitate the smooth flow of patients within the clinic, notifying clinical staff and patients of any delays. Maintain effective communication to minimize patient wait times and ensure a seamless experience.
  • Safety and Security: Adhere to clinic policies on safety and security. Maintain confidentiality by safeguarding keyless entry codes and computer passwords. Promote a secure environment for staff and patients.
  • Financial Responsibilities: Clearly explain financial obligations to patients and responsible parties. Collect copays and process payments accurately, ensuring compliance with established procedures.
  • Office Organization: Maintain the cleanliness and organization of the reception area, patient waiting areas, and office files. Contribute to creating a welcoming and professional environment.
  • Additional Duties: Perform other administrative tasks as assigned by the Office Manager. Collaborate with the team to ensure the efficient operation of the clinic.

Education: High school diploma or equivalent.

Experience: Previous customer service or reception experience is preferred. Experience in a medical office setting is beneficial. Familiarity with EClinical Works is a strong advantage.

Additional Requirements:

● Willingness to work evenings and/or weekends as needed.
● Wiliness to attend continuing education courses at the request of the employer.

Performance Requirements:

Knowledge:

  • Proficiency in medical terminology and awareness of clinic services.
  • Understanding of staff responsibilities to accurately direct callers.
  • Familiarity with administrative processes, claims processing, and patient chart preparation.
  • Basic knowledge of mathematics and modern office procedures.

Abilities:

  • Capability to thrive under pressure with minimal supervision.
  • Skill in extracting pertinent information to route calls accurately.
  • Ability to manage challenging calls or irate patients, offering solutions and direction.
  • Competency in Microsoft Office applications (Word, PowerPoint, Excel) and practice management software.

Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.

Work Environment: The role involves working in a well-lit medical office or reception area. Some stress may arise due to a busy office environment. Occasional coverage in the Brooklyn office may be required, but the primary location is in Manhattan.

Salary Range: $18-20/hr

Job Type: Full-time

Pay: $18.00 - $20.00 per hour

Expected hours: 40 per week
