Schedule: M-F from 8am – 5pm

Position Summary:

We are seeking a dynamic Office Administrator specializing in staffing, sales and onboarding to join our team. This multifaceted role involves supporting both our sales and recruiting teams in achieving their targets and ensuring a seamless onboarding experience for new hires within our staffing division. The ideal candidate will possess a blend of administrative prowess, sales expertise, and a knack for fostering a positive and productive work environment.

 

Job Responsibilities:

Sales Support:

· Provide administrative support to the staffing sales team, including managing calendars, scheduling appointments, and coordinating meetings.

· Assist with sales-related tasks such as preparing sales reports and assisting with maintaining client profiles.

· Collaborate with the sales team to develop and implement strategies to drive sales growth.

· Serve as a liaison between the sales team and other departments, facilitating communication and ensuring alignment of objectives.

Onboarding and Training:

· Coordinate the onboarding process for new hires within the staffing division, employee verification and identification in person and via video calls.

· Assist with maintaining applicant profiles as needed.

Front Office Administrative Duties:

· Greeting clients and visitors with a positive, helpful attitude.

· Answering, forwarding, and screening phone calls in a professional manner, and routing calls as necessary.

· Maintain accurate records and documentation related to sales activities, onboarding procedures, and office management.

· Taking and ensuring messages are passed to the appropriate staff member on a timely basis

· Support special projects and initiatives as assigned by management.

· Maintain the reception area and all common areas in a clean and tidy manner at all.

· Responding to all customer inquiries in a polite and timely manner.

Qualifications:

· Proven experience in office administration, with a focus on sales support and/or employee onboarding.

· Strong understanding of sales processes and techniques, particularly in the staffing or recruitment industry.

· Excellent organizational skills and attention to detail, with the ability to manage multiple priorities simultaneously.

· Exceptional communication and interpersonal skills, with the ability to build rapport with colleagues at all levels.

· Proficiency in Microsoft Office (Excel, Outlook) and other relevant software applications.

· Familiarity with CRM software and other sales tools is a plus.

· Ability to thrive in a fast-paced, dynamic environment and adapt to changing priorities.

· A proactive attitude and a willingness to take the initiative to solve problems and drive results.

· Commitment to maintain confidentiality and handle sensitive information with discretion.

· Experience in the staffing industry is preferred.

· Spanish speaking is preferred.
