Role Overview:

As an Investment Portfolio & Asset Management Coordinator, you will play a critical role in leading the asset and portfolio management team, optimizing portfolio performance, and ensuring efficient real estate transactions. Your responsibilities will include managing complex financial and operational aspects of our real estate assets while leveraging advanced technology and marketing strategies to drive success.

Key Responsibilities:

Team Leadership & Process Management:

  • Lead the asset and portfolio management team, establishing and refining processes to enhance efficiency and effectiveness.
  • Implement strategies to optimize portfolio value and performance, aligning with organizational growth objectives.

Stakeholder Liaison & Portfolio Optimization:

  • Act as the primary liaison with co-owners and partners to manage capital accounts, anticipate capital calls, and address financing issues.
  • Develop a comprehensive understanding of all assets and liabilities within the portfolio.
  • Formulate and recommend strategies to maximize portfolio value and returns.

Revenue & Growth Management:

  • Drive revenue, profit, and returns through expertise in finance, contracts, operations, marketing, revenue management, insurance, taxation, and accounting.
  • Maintain up-to-date data on local market trends and rental rates to ensure competitive positioning.

Real Estate Financing:

  • Evaluate existing banking relationships, covenants, and debt structures.
  • Develop and assess financing proposals for acquisitions, refinances, and margin calls.
  • Review and negotiate loan documents, conduct lender due diligence, and manage appraisals and property information.

Vendor & Contract Management:

  • Review and negotiate service contracts and vendor agreements; act as the point of contact for vendors and ensure compliance with contract terms.
  • Analyze and manage insurance policies and real property tax matters, including appeals and value analysis.

Lease & Transaction Management:

  • Oversee real estate transactions (purchase, sale, and financing) from contract creation to close of escrow.
  • Complete and modify contracts using AirCRE Contracts, Word, and other software.
  • Draft and negotiate lease agreements, tenant improvement work letters, letters of intent (LOIs), guarantees, and letters of credit, in collaboration with legal counsel.
  • Track and manage lease renewals, rent increases, and rent receipts.

Marketing & Property Management:

  • Visit properties to collect information and take photographs.
  • Manage the creation, proofing, and editing of marketing materials (presentations, proposals, flyers, etc.).
  • Create and manage lease listings on CoStar, LoopNet, Crexi, and Apartments.com.
  • Handle email campaigns and update property listings on various platforms.

Technology & Reporting:

  • Utilize software tools effectively, including Yardi Voyager, AIR CRE Forms, and ZipForms.
  • Employ advanced functionalities in Microsoft Office Suite (Excel, Word) and Google G-suite.
  • Collaborate with the CFO to select and implement software for accounting functions, improve systems, and develop business intelligence solutions.
  • Create solutions to streamline workflows, reduce administrative labor, and leverage automation.

Research & Analysis:

  • Compile research information from CoStar and other sources for meetings and presentations.
  • Maintain awareness of local market trends, rental rates, and competitive positioning.

Tax & Ownership Structuring:

  • Assist with tax analysis for 1031 exchanges and structuring shared ownership/partnership agreements.
  • Implement annual budgeting processes.

Qualifications:

  • Minimum of 5 years of experience in commercial and residential real estate, with a focus on administrative, lending, escrow, marketing duties, and client interaction.
  • Bachelor's Degree in a relevant field.
  • Strong communication, organizational, and time management skills.
  • Proficiency in Microsoft Office Suite (Excel, Word), Google G-suite, and various real estate software.
  • Minimum of 5 Years Experience with Yardi Voyager, AIR CRE Forms, and other relevant tools.
  • Ability to analyze and manage complex financial and operational aspects of real estate assets.
  • Familiarity with real estate financing, SNDA’s, Estoppels, and property management.
  • Experience in drafting and negotiating lease agreements and understanding lease terms.
