JOB OVERVIEW

Florida Rural Legal Services, Inc. provides free legal assistance to low-income clients in 14 counties and to migrant farm workers throughout the State of Florida. Our agency has been in existence since 1966.


The FRLS Board Administrator will ensure that FRLS Board of Directors can operate efficiently and effectively. The critical responsibilities are organizing, scheduling meetings, and ensuring Board resources are easily accessible. This position will work closely with the Board of Directors and Committees to achieve the program’s goals.


The FRLS Board Administrator will work directly with the Board Chair and will report to the Chief HR & Operations Officer.



ESSENTIAL FUNCTIONS

  • Coordinates the work and personal schedule of board members, including meetings, deadlines, and needs.
  • Sends critical notifications and updates regarding corporate issues promptly.
  • Collects and arranges data from committees and program departments.
  • Assist and administer director’s requests and inquiries.
  • Support the Board by generating reports and collecting data requested.
  • Takes meeting minutes and distribute as necessary.
  • Establish and maintain strong and unified collaboration with different teams.
  • View and filter incoming material such as messages and correspondence.
  • Prepares agenda items and meeting packages, considering the most recent changes.
  • Organizes and maintains reports.
  • Keeps records of meeting minutes and ensures a consistent agenda.
  • Organizes documents to always have quick access.
  • Ensures documents are up to date.
  • Distributes post-meeting documents with votes and action plan as specified.
  • Tracks pending actions items before and after the meeting.
  • Other duties as assigned.



Requirements:

KNOWLEDGE/SKILLS/ABILITIES

  • Bachelor’s degree required.
  • Three to five years’ experience managing board relations.
  • Appreciation of the importance of the legal system, commitment to the mission of FRLS and compassion for the clients.
  • Ability to forge positive relationships with prospects and colleagues.
  • Good organizational, interpersonal and communication skills.
  • Ability to work collaboratively, yet independently.
  • Creativity and ability to maximize the use of existing resources.
  • Working knowledge of Microsoft Suite (Word, Excel, PowerPoint,. Microsoft Teams) and Legal Server software.
  • Must be able to effectively communicate with peers, supervisors, clients, and the public.
  • Must be able to effectively work in high pressure situations which involve deadlines.
  • Must be able to work weekends and travel when needed.
  • Familiar with requirements of LSC and other funders and adheres to those policies and requirements, preferred.
  • Some knowledge of board meeting protocol and procedures


WORKING CONDITIONS

  • This position operates in a professional office environment.

PHYSICAL REQUIREMENTS

  • This is a largely sedentary role; however, some lifting of office supplies up to 20 pounds may be required.
  • Some travel required.
