The Car Wash and Retail Fuel Coordinator provides essential support to both the Retail Fuel Specialist and the Carwash Specialist, ensuring seamless operations and effective management of United Pacific’s car wash and fuel functions. This role involves monitoring inventories, scheduling deliveries, maintaining system documentation, and addressing inquiries and concerns related to car wash and fuel operations. Additionally, the Coordinator supports the VP, Car Wash and Retail Fuel, with administrative needs, including generating ad-hoc reports and assisting with project execution.

 

ESSENTIAL JOB FUNCTIONS:

· Assist with monitoring and maintaining inventory levels for car wash chemicals and retail fuel across all United Pacific locations (unbranded, 76, and Shell) by gathering data, creating reports, and entering data into inventory management systems.

· Support the Specialists with coordinating deliveries and managing reordering processes (e.g., data entry, communication with vendors).

· Compile and update data from car wash and retail fuel systems (point-of-sale, loyalty programs, fuel inventory) to support analysis by the Specialists.

· Assist Specialists with developing reports on car wash sales trends, fuel pricing data, and other key performance indicators (KPIs).

· Facilitate communication between car wash chemical suppliers, retail fuel vendors, the Specialists, and Facilities Maintenance by gathering information, routing inquiries, and creating communication logs.

· Assist the Car Wash Specialist with monitoring car wash repair budgets by collecting, organizing, and entering vendor invoices into designated systems.

· Research and identify cost-effective solutions for car wash chemical and fuel suppliers, presenting findings to the Specialists.

· Answer calls and emails related to car wash and retail fuel operations, directing complex inquiries to the appropriate Specialist.

· Assist store staff with car wash and retail fuel inquiries by providing information or escalating issues to the Specialists when necessary.

· Maintain departmental documentation, processes, and procedures under the guidance of the Specialists and VP.

· Assist the VP, Car Wash and Retail Fuel with general administrative needs, such as scheduling meetings, preparing presentations, maintaining filing systems, and creating travel arrangements.

· Coordinate and prepare materials for car wash and retail fuel marketing initiatives and projects.

JOB QUALIFICATIONS:

  • 1-2 years of experience in a customer service or administrative role, preferably in retail or a convenience store environment.
  • Strong organizational skills and the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills to interact with colleagues, vendors, and store staff.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with a willingness to learn new software programs.
  • Experience in a car wash or retail fuel environment.
  • Familiarity with inventory management concepts.
  • Experience with Point-of-Sale (POS) systems used in car washes or retail settings (PDI or similar systems a plus).
  • Understanding of maintenance ticketing systems used in car wash operations (prior experience a plus).
