Job DescriptionJob Description

Marcum is currently seeking an experienced Bookkeeper for our Suffolk County client. Responsibilities include:

GENERAL DESCRIPTION:

This full-time position is responsible for providing general ledger support through the production of financial reports. This person will work with and report to the Chief Financial Officer.

CORE RESPONSIBILTIES:

Provide general support including management and processing of accounts payable, credit card activity, cash and donation receipts, insurance administration and preparation of financial reports.

  • Accounts Payable: Responsible for the process and execution of the organizations A/P in accordance with board approved policies and procedures. Includes obtaining proper management approvals, coding expenses, entering invoices into QuickBooks, initiating weekly check runs, mailing checks to vendors and maintaining AP vendor files. Process and generate employee travel and expense reimbursements. Obtain and maintain valid vendor information for annual workers compensation audits. Develop and maintain a positive relationship with vendors. Produce and distribute year-end 1099s.
  • Credit Card Management: Maintain and monitor employee credit Gather and match receipts for each transaction, properly code related expenses and process monthly payments.
  • Cash and Donation Receipts: Responsible for coding donations, preparing bank deposits and recording in QuickBooks. Recording online donations and automated deposits received from various platforms. Match sales and cash deposits for the organizations retail store and record daily sales in QuickBooks. Record ecommerce sales in Work with the fundraising staff to reconcile donor reports to general ledger.
  • POS Management: Responsible for the maintenance of the POS Work in conjunction with the store manager to add/delete: users, inventory categories, discount and promotional items. Import sales data from POS to QuickBooks and record sales returns daily. Generate reports as requested by management.
  • Financial Reporting Schedules: Maintain supporting financial schedules to include fixed assets and depreciation, restricted vs. non-restricted cash and mortgage delinquency reconciliations. Assist with quarterly and annual audits.

Qualifications and Education Requirements

The best candidate must be proficient in QuickBooks Online, Bill.com as well as Microsoft Office Suite –Work, Excel, PowerPoint, and Dropbox for Business. Knowledge of POS systems; E-Commerce platforms; experience with Shopkeep a plus.
