DEPUTY II, AUDITOR’S OFFICE

Job Class: CS 2

Hours: Monday-Friday 8:00 a.m. – 5:00 p.m. (1 hr lunch) May vary

Description of Work

General Statement of Duties: Performs work relative to Auditor’s Office to include but not limited to the following: Processes accounts payable; processes collection agency payments; maintains bankruptcy files; calculator, computer and mainframe work; organize, file and keep records; assist the public and county employees.

Supervision received: Under immediate supervision of the Auditor. Supervised by Deputy Auditor I in the absence of Auditor.

Supervision exercised: None.

Examples of Duties: Any one position may not include all of the duties listed, nor do the listed examples include all duties which may be found in a position for this classification.

  1. Process all county expenditures and issue payments to appropriate vendors.

  2. Responsible for verifying coding of expenditures for all county departments.

  3. Maintain accurate warrant registers.

  4. Responsible for processing W-9 forms.

  5. Responsible for processing and mailing 1099 forms to the appropriate vendors.

  6. Responsible for filing 1099 forms with the IRS.

  7. Process all Care of Poor liens.

  8. Process collection agency payment and credit liens appropriately.

  9. Maintain Hospitalization Notice File and copy and forward notices to Welfare Director.

  10. Maintain Bankruptcy Notice File.

  11. Research liens associated with bankruptcy notice and forward information to commissioners.

  12. Assist public setting up payment plans for liens that have been placed on them for CAA, COP, Jail Confinement and Evaluation liens and helping them to understand why the liens have been placed.

  13. Generally responsible for interaction with customers.

  14. Assist with absentee voting prior to elections.

  15. Assist in recommending poll workers for elections.

  16. Maintain Davison County resolution file.

  17. File all documents appropriately.

  18. Maintain counties fixed assets and inventory records.

  19. Maintain all records and materials in accordance with the record destruction manual.

  20. Perform a variety of clerical duties associated with carrying out the responsibility of the Auditor’s office.

  21. Perform any and all duties assigned by the Auditor.

  22. Cross train in other aspects of the office not normally performed by the 3rd Deputy Auditor.

  23. Required to take an oath of office.

  24. Required to be bonded.

  25. Issue certified copies of documents upon request.

  26. Serve as Notary Public on behalf of Davison County.

  27. Assist and provide a number of miscellaneous duties that provide general service to citizens and county employees who come to the office for help.

  28. Maintain own office space.

Expectations

Deputy Auditor III receives supervision for most duties from the other deputies or Auditor.

Qualifications for Appointment

Required Knowledge, Skills and Abilities: Knowledge of basic data processing principles and methods are desired. Accounts receivable and accounts payable experience are desired. Ability to tactfully and effectively communicate with others orally is required. Basic skills of keyboarding, general office skills and working with the public are required. Knowledge and familiarity with Davison County is desired. Must be able to be bonded.

Education/Experience: Graduation from high school or possession of a GED certificate.
