DESCRIPTION OF POSITION:

Provide necessary support for projects within the Construction Department and take direct lead over various project aspects, to help implement project goals as directed by the Project Manager. This includes administrative and other duties on new, current and closing of projects. Assist in ensuring all projects are performed efficiently and to the customers’ satisfaction and within the budget of the project. Oversee project goals, create and deliver reports, analyze data from project execution, and any other duties as determined by Management. Must have excellent verbal and written communication skills and must be able to work independently as well as part of the team.

RESPONSIBILITIES:

  • Work directly with Project managers and/or Construction management to help implement execution/turnover of projects to include but not limited to the following:
  • Project schedule (to include logging in of new jobs and job tracking sheet in Excel)
  • Issuance of purchase orders to vendors and subcontractors
  • Track shipment of all equipment/materials
  • Provide field personal with drawings and materials, as necessary
  • Obtain submittals from all vendors/subcontractors
  • Send submittals for approval to General Contractor and/or Engineer and track approval status
  • Submit and track RFI’s
  • Submit and track all change orders
  • Prepare close out documents.
  • Coordinate with Project managers to schedule field technicians
  • Dispatch field technicians to assigned job sites
  • Oversee aspects of projects and provide direct assistance to ensure timely project execution
  • Overview project goals and ensure project deadlines are achievable based on lead-time of equipment and/or other variables
  • Communicate with project lead and other Project Managers to maintain project schedule and efficiency
  • Assist in billing and AIA applications
  • Maintain work in progress reports
  • Provide assistance to Estimating Department, as necessary
  • Assist in filing of rebates with the energy company/customer
  • Provide HR/Payroll with necessary documentation for field personnel
  • Inform HR/Payroll of projects that require certified payroll
  • Process all Certificate of Insurances
  • All other duties as assigned by Management

EDUCATION AND/OR EXPERIENCE

· High school diploma or equivalent

· At least [2] years in Construction / HVAC environment

· Three to five (5) years of general office administrative responsibilities

REQUIRED SKILLS AND STRENGTHS

· Knowledge of HVAC industry

· Work independently after initial training

· Able to plan

· Ability to meet deadlines

· Computer literate with Word, Excel, email and data entry

· Able to adapt and learn new computer programs

· Familiar with blueprint copier, scanner and printer

· Familiar with standard office machines

· Work in a fast-paced environment

BACK UP RESPONSIBILITIES:

Provide back up support to Estimating Coordinator

WORK ENVIRONMENT

The work environment is a cubicle within an open floor workspace. There can be intrusive noise from vehicle bay and/or warehouse.
