We are currently searching for a savvy, self-starter for the position of Administrative Receptionist. That remarkable person will support our team in our Waller facility. The successful candidate must have excellent customer service skills, organizational skills and be goal orientated. They must be able to work in a fast-paced environment and have a strong attention to detail.
The Administrative Receptionist will play a critical role in managing the smooth functioning of the office and must handle multiple demands, tasks and priorities. The successful candidate will have a collaborative work style, be exceptionally well organized, can effectively multi-task, prioritize, handle a wide range of responsibilities with strong written and verbal communication skills.
Duties and Responsibilities:
• Data entry using various software tools including Microsoft Office, Outlook, and Excel
• Ensure document retention policies by filing, sorting, and scanning for multiple departments.
• Communicate effectively with the team and outside parties, including customers, clients, vendors, delivery drivers, and industry leaders.
• Answer phones, proper screening of each call and greeting clients and visitors at sign in, directing them to the appropriate team member, and ensuring a positive first impression.
• Monitor and maintain office supplies, kitchen supplies, coordinate group lunches and provide other office support.
• Ongoing interview scheduling for Welders and Fitters.
• Complete special projects as directed.
Skills, Characteristics and Experience Required:
• Proven self-starter with strong computer skills
• Proven time management and multi-tasking skills, with ability to prioritize and handle multiple tasks and deadlines and work in a fast-paced environment.
• Experience with Microsoft Office (Word, Excel, Outlook, PowerPoint) and Adobe PDF.
• Excellent verbal and written communication skills.
• Highly organized with the ability to work independently as well as in a team environment.
• Attention to detail and follow-through a must.
Takes initiative and has desire for learning and continuous improvement.
