Legal Receptionist
We are a large Civil Litigation law firm seeking an experienced Receptionist in downtown Tulsa. The Receptionist will work directly with all staff to help assist with front of office tasks and responsibilities. The ideal candidate for this position is organized, professional, responsible, reliable, and friendly.
Responsibilities and Duties Include:
- Open firm prior to attorneys’ arrival, including making coffee, stocking the refrigerator with beverages and kitchen supplies
- Welcoming clients and visitors upon arrival, including paying for parking
- Answer, screen, and forward multiple phone calls in a correct and professional manner
- Check voicemails daily and send out to the firm
- Manage and update phone system
- Set up and break down conference rooms for mediations, depositions, meetings, lunches, etc.
- Process all incoming mail and faxes by scanning, saving to correct file and email out to firm
- Prepare all outgoing mail including using Stamps.com
- Notate all updates and important information on case management software proficiently, including updating the team assigned to file
- Update and help order office supplies and other office needs
- Send documents for signature to clients using software
- Upload all medical records and imaging received through mail, email or fax
- Scan and save all documents received from clients or potential clients
- Receive and input all invoices for payment
- Change voicemail and notifying public of office closures
Qualifications and Skills:
- Excellent organization skills
- Ability to follow direction and procedures
- Strong written and oral communication skills
- Ability to prioritize
- Proficient in Microsoft Office and case management software
Education and Experience Requirements:
- Minimum 1-2 years of experience with high volume calls on a multi-line phone system
