Our team is seeking a Surgical Coordinator who prioritizes the overall standard of excellence as it relates to patient care, teamsmanship and safety. 

 

Job Title: Surgical Coordinator

Location: Hickory, NC

Reports to: Office Manager

Job Status: Full-time

Positions Supervised: None

Work schedule: M-Th, 7:00am - 4:00pm, Friday, 7:00am - 12:00pm

 

Position Overview: The Surgical Coordinator plays a critical role in delivering excellence and patient-first care at the Ophthalmic Plastic & Reconstructive Surgery Center. This position ensures a smooth and confident surgical experience for patients by coordinating and managing all aspects of surgery, including preoperative preparation, scheduling, insurance coordination, and post-operative follow-up. Acting as a liaison between the office, surgical facility, patient, and primary care physician, the Surgical Coordinator also manages physician schedules and non-clinic needs for two providers. 

Key Responsibilities:

Surgical Scheduling & Coordination:

  • Act as an effective liaison between the patient, surgeon, primary care physician, and the surgical facility in all aspects of pre-operative preparations.

  • Schedule all patient surgeries and pre-operative appointments, including those with the patient’s primary care physician if necessary, surgical facility, ophthalmologist or technician.

  • Ensure operating room availability, block times, and other necessary resources are aligned for each procedure.

Patient Care - Pre and Post Surgical Follow-Up: 

  • Provide patients with detailed pre-operative instructions and educate them on what to expect before, during, and after surgery. 

  • Coordinate with the clinical team to handle any patient issues or complications that arise before or after surgery; ensuring personalized attention is provided for at least 6 weeks.

  • Schedule and confirm post-operative appointments, including follow-up exams and check-ins.

  • Ensure patient satisfaction and continuity of care by following up on any concerns post-surgery.

Insurance Verification & Authorization:

  • Proactively verify insurance coverage and obtain pre-authorizations for surgical procedures.

  • Work closely with insurance companies, patients, and billing teams to ensure accurate and timely processing of insurance claims and payments.

  • Provide cost estimates and payment plan options to patients, when applicable.

Administrative & Documentation Duties:

  • Maintain accurate and up-to-date surgical records, including preoperative forms, consent documents, and post-operative notes.

  • Coordinate with the clinical team to ensure all necessary tests, lab work, and pre-operative clearances are completed.

  • Prepare and submit surgery packets with all required documentation to the operating facility.

Team Collaboration:

  • Work closely with surgeons, nursing staff, and the administrative team to ensure smooth operations and patient flow.

  • Participate in regular team meetings to discuss patient cases, updates, and process improvements. 

Education and Experience:

  • Associate’s degree or some college credits

  • Minimum of 2 years of experience in a surgical scheduling or coordination role, preferably in an ophthalmic and/or cosmetic surgical practice. Willing to train.

  • Hands on knowledge with medical terminology, surgical procedures, and insurance processes.

Required Skills and Abilities:

  • Strong organizational skills, attention to detail, build and navigate timelines.

  • Excellent communication (written and verbal) and interpersonal skills, with a focus on patient care and service.

  • Proficiency in AthenaHealth software is a plus.

  • Proficient in administrative and office tools.
