Operations Assistant

Position Overview:
The Operations Assistant plays a crucial role in ensuring the smooth and efficient operation of the business while maintaining front desk responsibilities in a fast pace environment. This position involves managing order assignments, monitoring progress and quality, planning schedules, and ensuring optimal use of resources. The ideal candidate will be organized, detail-oriented, and capable of multitasking in a fast-paced environment.
Working Conditions:
- Primarily office-based with occasional visits to the warehouse or production floor.
- Standard working hours with potential for overtime during peak periods. Monday to Friday 8 AM - 5 PM.

Key Responsibilities:
1. Order Assignment and Work Schedule Planning:
- Assign orders based on the current workload and individual employee capabilities.
- Develop and maintain work schedules for all employees.
- Adjust schedules as needed to accommodate changes in workload and staffing levels.
- Track and report on individual employee productivity.
- Ensure tasks are distributed fairly and according to employee strengths and availability.
2. Order Monitoring:
- Track the status of all orders to ensure timely completion.
- Identify any orders that are falling behind schedule and investigate the causes.
- Implement corrective actions to mitigate delays.
3. Timely Completion of Orders:
- Ensure all orders are completed on time and meet the company's quality standards.
- Coordinate with different departments to streamline order processing.
4. Resource Management:
- Monitor warehouse supplies and inventory levels.
- Ensure tools and equipment are used properly and maintained in good condition.
- Order supplies as needed to avoid disruptions in operations.
5. Front Desk Responsibilities:
- Handle and route incoming phone calls to the relevant staff members
- Greet and welcome all visitors
- Perform some administrative and clerical tasks
- Collaborate closely with sales and operations teams to maintain seamless company operations
- Assist with customer pick ups by processing payment and paperwork
Qualifications:
- High school diploma or equivalent; additional education or certifications in operations management or related fields is a plus.
- Proven experience in an operations or assistant role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Ability to work under pressure and meet tight deadlines.
- Proficiency in using productivity software (e.g., Microsoft Office, scheduling tools).
