The Payroll Specialist will be responsible for processing and managing payroll for the firm’s clients, ensuring accurate and timely payment to employees, and compliance with all relevant laws and regulations. The role includes handling payroll-related taxes and reports, maintaining records, and addressing payroll-related queries from both clients and employees. The ideal candidate will have a strong understanding of payroll systems, meticulous attention to detail, and the ability to handle sensitive financial data with discretion.
Key Responsibilities:
- Payroll Processing: Accurately process payroll for multiple clients, ensuring that all earnings, deductions, and taxes are calculated correctly.
- Compliance: Ensure compliance with all federal, state, and local regulations related to payroll, taxes, and benefits.
- Tax Reporting: Prepare and file payroll tax reports (941, W-2, 940, etc.) on a quarterly and annual basis.
- Client Communication: Serve as the primary point of contact for clients regarding payroll inquiries, addressing concerns promptly and professionally.
- Record Maintenance: Maintain accurate and confidential payroll records, ensuring that all information is up-to-date and securely stored.
- Problem-Solving: Investigate and resolve any payroll discrepancies, including issues related to employee hours, deductions, or tax withholdings.
- System Management: Utilize payroll software to manage and process payroll efficiently. Experience with systems such as QuickBooks Payroll or similar is preferred.
- Process Improvement: Identify opportunities to streamline payroll processes and improve accuracy and efficiency.
- SOP Development: Assist in creating and fine-tuning Standard Operating Procedures (SOPs) for payroll processes. Ensure all procedures are documented, up-to-date, and effectively implemented.
- General Administrative Support: Perform occasional general and administrative tasks as required, including filing, data entry, and supporting other team members with ad hoc projects.
Qualifications:
- Education: High School Diploma or equivalent. A degree in Accounting, Finance, or a related field is preferred.
- Experience:
- 3 to 5 years of experience in payroll processing.
- Familiarity with payroll software (e.g., QuickBooks Payroll, ADP, Gusto) is preferred.
- Technical Skills:
- Proficiency in Microsoft Word and Excel.
- Strong organizational skills with a keen eye for detail.
- Knowledge of Regulations: Strong understanding of payroll laws, taxes, and regulations.
- Communication: Excellent written and oral communication skills to interact with clients and employees.
- Problem-Solving: Ability to quickly and efficiently resolve payroll discrepancies and related issues.
