This part-time position is responsible for assisting the accounts receivable efforts of the administrative department including but not limited to credit hold monitoring, customer inquiries and collection efforts with communication to customers with letters and/or phone calls.

  • Key responsibilities (including but not limited to the following)
    • Monitors and analyzes all credit hold transactions for supply orders and service calls.

    • Executes collection efforts for service and supply invoices that are past due. Including 30 day past due letter, 45 day call and 60 day past due letter.

    • Executes collection efforts for Maintenance renewal invoices that are past due. Including 30 day past due letter, 45 day call and 60 day past due letter.
    • Handles customer inquiries.
    • Updates AR collection notes with any payment arrangements or communication with customer.
    • Completes credit reference requests and provides information related to ACH app requests.

    • Prepares credit memo packets for approval. Includes freight and sales tax, maintenance agreements and supply returns.

    • Serves as phone support for client inquiries regarding payments or invoices.
    • Bad Debts

    • Prepares Refund Request Packets

    • Assists with Business Partner Clean-up efforts including Tax updates. (Tax letters as needed)

    • Data & Meter Entry / Audit Projects as needed

    • Other responsibilities as requested.
  • Essential requirements
    • High School Diploma or the Equivalent
    • Two or more years experience in administrative role or customer service
    • Proficient in Microsoft Word, Excel, & Outlook; Must be able to type 45 words per minute or more
    • Must be able to work in an open-office setting, with the majority of time being spent in a sitting position at a desk in front of a computer.
    • Must thrive in a fast-paced environment, accommodating change when necessary
    • Fluent communication in English
