Auction Coordinator (Full-Time)
J.P. Weigand & Sons, Inc. is seeking a full-time Auction Coordinator position for our Commercial office in Wichita, Kansas. This position will directly support the auction division at a well-established and leading real estate brokerage firm. The ideal candidate will be hard-working, capable of handling multiple assignments simultaneously, able to work with minimal supervision, have superior attention to detail, good customer service, is professional, dependable, and has a positive attitude in the workplace.
This position will report to the office, 40 hours a week between Monday – Friday, 8:00 a.m. – 5:00 p.m. (flexible). Pay will depend upon experience.
Specific job responsibilities include:
Provide administrative duties for the auction division and associates involved:
- Participate and schedule all in-house auction meetings.
- Manage and enforce shared auction calendar for all important dates and deadlines.
- Complete listing profile sheets in conjunction with marketing representative and auctioneer.
- Ensure all steps are taken with sales support for prompt and efficient turnaround on marketing and listings being active online.
- Communicate with auctioneer to compile needed information for completion of marketing.
- Assist in scheduling and attending open houses and showings.
- Compile marketing packets for auction listing presentations at request of Auctioneer.
- Draft and deliver marketing invoices.
- Order preliminary title.
- Complete pink sheet draft.
- Assist in acquiring signatures from buyers and sellers at the conclusion of the auction.
- Expenses management related to auction budget.
- Assist in management of properties in listing platforms.
- Assist in compiling direct mail marketing list.
- Assist in compiling all pertinent data for property information packet and provide to marketing to include bidder information packet and make available online. Included but not limited to: County Taxes, Inspections, AgriData, Tenant Information, Demographics, Zoning Information.
- Help maintain and develop marketing list for direct mail, email blast, and print advertising.
- Schedule and reserve venue/technology for auctions (live and/or online).
The ideal candidate will possess the following skills and qualifications:
· Solid PC/computer proficiency in Adobe Creative Suite products and Microsoft Office Suite
· Previous commercial real estate experience
· Excellent written and verbal communication skills
· Research and creative abilities
· Organization skills
· Time management skills
· General clerical skills

· Collaboration abilities
