What we are looking for:
The Clinic Supervisor is responsible for maintaining efficient and effective clinic operations in a single clinic location to ensure that patients receive the highest quality healthcare services possible. Clinic Supervisors are considered “working” supervisors, which means the individual is expected to roll up their sleeves to assist in the clinic where needed to provide excellent customer service and quality care to patients. As Clinic Supervisor you are the onsite leader responsible for ensuring staff and providers receive exceptional support, maintaining inventory, ensuring the appropriate staffing levels are consistently maintained, managing any conflicts that arise, and providing overall guidance. In this role, you must be a role model in upholding the Company’s Core Values, and ensuring policies and procedures are followed. The Clinic Supervisor is the individual primarily responsible for successful clinic operations in a single site location with 2 providers, 5-7 staff members, and a low or medium degree of patient volume and operational complexity.
What you'll do:
Leads and supports team members to ensure timely and efficient functions and workflows in daily front and back office operations.
Effectively manages staffing levels according to Company guidelines.
Ensures patient experience best practices are followed by all teammates.
Analyzes and troubleshoots workflows to identify patterns, trends, and process improvement opportunities.
Plays an active role in the recruiting, onboarding, and training of new employees, adhering to Epiphany’s standards.
Effectively manages patient scheduling to achieve access to care and preferred provider utilization.
Maintains knowledge of legal requirements related to day-to-day operational procedures, company policies, and procedures.
Supports team and providers by functioning as a front office or clinical support team member 70-90% of the time depending on the size of the clinic.
Provides effective, thorough, and objective support to team members with regard to performance management, attendance, conflict resolution, investigations, employee meetings, and corrective action, ensuring proper documentation and tracking of reported issues. For more complex employee relations issues, collaborates appropriately with Regional Leadership and HR Business Partner.
Develops and maintains positive and trustworthy relationships across all levels of the organization (including providers) to improve work relationships, build team morale, and increase productivity and retention.
Coordinates and collaborates with the team to ensure timely response and resolution to patient/family complaints. Escalates particularly sensitive and/or unresolvable customer service issues to the appropriate party.
Plans, coordinates, and conducts staff meetings a minimum of weekly. Provides constructive input for clinic improvements and solutions.
Ensures regular one-on-one meetings are being conducted with staff and providers per Company requirements.
Maintains consistent, reliable and on-site attendance to support patient/business needs. Willing to adjust personal availability to accommodate volume changes and activity surges.
Other duties as assigned.
Qualifications/Experience:
One (1) to three (3) years of healthcare experience as a supervisor or team leader.
At least two (2) years of experience in delivering exceptional customer service in a healthcare environment.
A high school diploma or above required.
Prior Medical Assistant or nursing experience is strongly preferred, with a commitment to continue to stay updated on clinical training.
High level of accuracy, dependability, responsiveness, and dedication to ensure excellent customer service.
Prior systems experience with EMA by Modernizing Medicine is highly desired.
Basic experience working with Microsoft Office Suite, including Word, Excel, and PowerPoint.
Completion of Epiphany Clinical and Front Office Preceptor training programs within 30-days of hire.
Completion of Rising Sun's leadership development program within 12 months of hire.
Work environment and physical requirements:
Medical office, procedure/exam room and laboratory environment may include exposure to communicable diseases, bloodborne pathogens, biohazards or toxic substances. Daily activities may include standing, walking, sitting, bending and lifting items up to 30 lbs.
