Office Manager

We are looking for a full-time office manager to work in Freeport for our Emergency Water Damage Restoration & Mold Remediation Company.  This is a fun, friendly & fast paced, company that has been in the industry for over 20+ years.  Our owner is highly respected in the industry and is also an instructor that teaches & certifies restoration companies around the country.  We would love to meet you if you meet the requirements below.  

We are offering the following:

  • 35 - 40-hour work week Monday – Friday. 
  • In-house training for our industry, by IICRC Certified in house Instructor with over 20+ years' experience. 
  • IICRC Certification training in our industry by Mark Wichern, IICRC Instructor
  • Paid holidays. 
  • Paid vacations after the first year.

  • Raises quickly as experience increases.
  • Monthly COGS (Cost of Goods Sold) Bonus shared with Project Managers, after fully trained. 

Main Responsibilities:

  • Answer incoming calls explaining to customers the procedures and what to expect when the technicians arrive.
  • Scheduling jobs on job boards, setting up office & field files, setting up company cam link, obtaining information for owner's, insurance, etc., obtaining Work Authorizations, etc.
  • Invoicing and documentation updating.
  • Entering estimates and invoices into QuickBooks.
  • Accounts Receivables (primarily working with property managers, insurance companies & homeowners)
  • Accounts Payables (working with OPS mgr. for COGS and Expenses.)
  • Scheduling assistance (working with project managers)
  • Liaison with customers and technicians
  • Ordering supplies for office & field and assisting PM’s when they are in field.
  • Calculating hours and submitting payroll twice a month.
  • New Hires - setting up new employee to be onboarded with payroll company, reviewing Employee Handbook and obtaining and gathering information and files for new employees.
  • OSHA requirements - annual fit testing for technicians & new hires

Qualifications for which we are looking:

  • Detail oriented, strong follow through skills. Making sure files & documentation are all in order and complete in job files.
  • Following through the job from beginning to end to ensure customers are happy, everyone is informed, and job is complete.
  • Organized. (This position is the glue of the company.)  Organization and follow through skills are key for this position.
  • Polite and friendly demeanor, but confident & stern.
  • Great communication skills.
  • Computer skills - candidate must know Microsoft Office Products (word, excel, PowerPoint, and able to format and send professional emails) Must have skills to write correspondence and communicate professionally with office, customers, i.e., owners, property managers, vacation rental managers, etc.
  • QuickBooks, experience needed.  Will train in QB if needed.
  • Decision making skills within your authority and accountabilities.
