SUMMARY:

The primary objective of the Donor Database Manager is to serve as Chapman Partnership point person for maintenance, queries, reports, list management for mailings, CLASSY, and Donor wealth management software. This position has primary responsibility for maintaining the integrity and accuracy of the donor database, through the development and oversight of policies and procedures. Duties for this position will include, but not be limited to, data input and output, donation processing, charitable receipts, data maintenance, Donor portfolio management for the team, end-user training and database support.

DUTIES AND RESPONSIBILITIES:

  • Lead with day-to-day processes, such as correspondence, gift entry, and routine database audit cleanups ensuring accurate donor records and transactions.
  • Conduct proactive research methodologies utilizing Raiser’s Edge donor research tool to support the fund-raising efforts of the organization.
  • Create and offer trainings for new and existing users as well as to all users when software updates occur. Review standard trainings (through Blackbaud or other) and make suggestions to specific staff as warranted.
  • Troubleshooting, escalating, and responding to user inquiries about system use, configuration, and limitations.
  • Remain current on future release issues and enhancements.
  • Point person for routine system tasks such as mail merge, queries, reports, list management for mailings, e-lists, and CLASSY appeal updates.
  • Ensure effective communication to synchronize system use and expectations, based on analysis of information to continuously improve and refine processes. (and aligning with the Finance Department)
  • Provide excellent customer service and facilitate the resolution of donor issues and questions. Create audits that ensure data integrity and accurate reporting/analytics.
  • Lead completion of the monthly Board reports, department meeting reports, and managing the Development department dashboard.
  • Develop and implement the Donor database utilization SOP’s.
  • Develop comprehensive profile reports and briefs on annual gift, planned gift and major gift donors and prospects, tailored to the needs of the organization, to be used to develop strategies and solicitation requests.
  • At the direction of the EVP, of Development, and Director of Development assist with the planning, implementation, monitoring of research, rating and categorizing of a prospective pool of likely individual donors for major gifts, annual gifts and planned gifts.
  • Enter, update, manage and identification/qualification/cultivation/solicitation/stewardship of prospects within the Raiser’s Edge database using the Moves Management model, and generate reports reflecting the status of prospects.
  • Update and maintain the integrity of all constituent records in Raiser’s Edge.
  • Provide relevant materials enabling coordinated research planning, supporting both organizational development projects and unit fund raising priorities.
  • Other projects, as needed.

QUALIFICATIONS:

  • Bachelor’s degree required. Must have comprehensive knowledge of research methods and private foundations associated with fundraising for a non-profit institution, or online research skills in another capacity.
  • A minimum of three years of experience in a related position managing Raiser's Edge and proficiency in standard technology tools.
  • Experience working with not-for-profit organizations
  • Computer skills required Microsoft Office Software. (Word, Excel, Adobe)
  • Proficiency in Microsoft applications such as Outlook, Excel, Word, PowerPoint.
  • Research and development skills preferred.
  • Gift processing experience and working knowledge of fundraising operations preferred.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Must possess outstanding critical thinking skills as well as the ability to analyze and interpret complex business and financial data and philanthropic information.
  • Must be able to multi-task and meet strict deadlines.
  • Ability to effectively interact with all levels of staff (from direct-service staff to Executive staff, community partners and vendors).
  • Excellent customer service skills, with the ability to prioritize and manage workflow and resolve questions via phone, email and in person.
