Job Overview

This role involves providing support to the Site Supervisor with the after-school program, focusing on child safety, enrichment, and operational support. Key responsibilities include managing student sign-in/out procedures, maintaining a safe environment, assisting with activities and snack distribution, and facilitating mandated curricula. The position requires attention to confidentiality, detail, documentation, and professional conduct. Staff in this role must be adaptable, able to handle emergencies, and committed to creating a positive learning environment. This role will also support administrative tasks and engage with parents/caregivers. The ideal candidate will be detail-oriented, communicative, and passionate about child development in an after-school setting.

 

Additional Responsibilities and Duties.

  • Assist Site Supervisor with recruitment efforts, ensuring 40 students are consistently attending the program daily.
  • Ensure that each child is signed into and out of the program site properly.
  • Ensure only authorized individuals pick-up the child at the end of the program day.
  • Assist with organizing, distributing, and logging snacks accordingly during snack time.
  • Ensure drinking water is available for students (physical education activities) to protect against dehydration.
  • Monitor and document any safety hazards (such as broken equipment or furniture, toxic or caustic chemicals or cleaning agents) of both indoor and outdoor space.
  • Monitor the cleanliness of program used spaces, including sanitation stations, cafeteria, restrooms, etc.
  • Re-stock cleaning products and report products needing to be reordered.
  • In case of emergency, accident, or injury, consult the site’s Master Registration List for student information on allergies, medical and doctor information, parent notification and authorized student pick-up.
  • Assist with completion of incident/injury reports according to program policy.
  • Safeguard the confidentiality of student or family information on file, especially medical conditions, and student academic performance.
  • Create a positive, enriching environment for students and peers.
  • Assist with administration of social skills pretest and post-test.
  • Follow the daily activity schedule set by the Site Supervisor.
  • Model and reinforce hand washing, especially before meals/snacks and after using the bathroom.
  • Assist with parent engagement and contact follow-ups.
  • Sign-in/sign-out on the weekly log at the program site.
  • Facilitate mandated curricula as stated in BSI contract agreement.
  • Communicate and advocate effectively for positive and healthy relationship building among participants.
  • Responsibly represent the agency with a high standard of professionalism.
  • Assist with scheduling quarterly parent engagement events.
  • Serve as liaison to school personnel (to maintain grade reports and monitor student progress).
  • When possible, attend Be Strong training and meetings to improve professional skills/enhance program activities.
  • Work alongside Site Supervisor to coordinate and schedule 2 field trips per year.
  • In case of emergency, accident, or injury, consult the Student Emergency Contact form for information on allergies, medical and doctor information, parent notification and authorized student pick-up.
  • Incident/injury reports will be completed thoroughly and signed by staff, witnesses, and Site Supervisor on the same day as the incident occurs and scanned to BE STRONG by the end of the program day. Incidents requiring medical attention will be brought to the attention of the Program Lead, the Program Manager and contact parents immediately.
  • Assist with completing incident/injury reports on the same day.
  • Safeguard student’s confidentiality and family information, especially medical conditions and student’s academic performance.
  • Complete any required training before the deadline (as provided by the onboarding process or your direct supervisor upon hire).
  • Other duties as assigned.


Supervisory Administrative Responsibilities:

  • Ensure that each youth signs into the program site daily.
  • Ensure that each youth signs out daily.
  • Ensure that only authorized individuals pick up the minor child at the end of the program day.
  • Staff must have a charged cell phone and/or walkie talkies for immediate contact in case of emergency.
  • Ensure that drinking water is always available for students to protect against dehydration.
  • Ensure safety during program hours through a daily, documented monitoring for safety hazards (such as broken equipment or furniture, toxic or caustic chemicals or cleaning agents) of both indoor and outdoor space.
  • Monitor the cleanliness of the bathroom facilities nearest to the program and restock supplies as needed.
  • Make sure children leave the room organized and clean for the following day.
  • Ensure preparedness for any monitoring visits and audits. These may be unannounced.
  • Create a positive, enriching academic environment for the youth and staff.
  • Ensure teachers assist youth with daily school homework.
  • Make sure the youth’s nutritional needs are met through the daily snack or lunch/snack.
  • Have snack paperwork ready for submission when it’s due (depending on each vendor).
  • Help prepare students for improvement in their academic performance.
  • Follow the daily activity schedule approved by the contract funder.
  • Model and reinforce the washing of hands and cleanliness before meals/snacks and after using the bathroom.
  • Place student work in their individual work folders for review by parents and program monitors.
  • Demonstrate respect for parents (and children) and invite them to join special parent events.
  • Assist youth in the use of educational computers and notebooks when needed.
  • Other duties as assigned by Site Supervisor.

 

Required and/or preferred qualifications:

  • High School Diploma or General Equivalency Diploma (GED).
  • English language is required (can read, write, and speak fluently).
  • Bi-Lingual (Spanish or Creole) is a plus.
  • Available to work the required program hours.
  • Proficiency in computer skills and programs such as Microsoft Office: Word, PowerPoint, Outlook and Excel.
  • Reliable personal transportation and personal cell phone.
  • Time Management Skills
  • Detail oriented. Excellent communication skills (written and verbal).
  • Must be able to prioritize tasks effectively.
  • Must be able to successfully pass Level II background check.

Physical Demands:         

This position is regularly required to sit, stand, walk, speak, and hear. The position requires extensive computer use so the employee must have sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen. The employee must occasionally lift and/or move up to 30 pounds.
