This full-time position is responsible for timely responses to all calls, emails, and communications from transferees, business partners, and other associates related to the relocation process. Position Purpose/Objective:
Serves transferees, clients, third party vendors, and internal departments by analyzing relocation options, executing the best options and providing accurate and dependable information regarding the transferee’s relocation, using Associate’s real estate knowledge. Reports to the Counselor on providing the services and benefits of the client’s relocation policy. Also negotiates conflicts in resolving transferee issues and other service problems using Associate’s independent judgment and discretion.
Essential Duties & Responsibilities:
- Exercise independent discretion in reviewing contracts with potential real estate brokers, negotiating contracts and binding the Company to the contract, working with transferee to ensure their satisfaction with the agent chosen.
- Exercise independent discretion in authorizing expenditures on behalf of the Company related to the relocation of a transferee.
- Exercise independent discretion in discerning the needs of a transferee and meeting the real estate and transportation needs of the transferee while maintaining positive customer relations and maximizing the use of resources available to the Company.
- Exercise independent discretion in analyzing, challenging and approving appraisals provided by real estate agents, using Associate’s real estate knowledge.
- Exercise independent discretion in ordering any necessary inspections, delivering inspection results to transferee and effectively communicating results and any required remediation, utilizing Associate’s real estate knowledge.
- Exercise independent discretion in negotiating any required repairs and obtain the appropriate release agreement once repairs are completed, while keeping transferee informed of such repairs.
- Process expense reimbursements by analyzing, troubleshooting, and approving transferee-submitted expense reports.
- Effectively manage listing paperwork including WHR-specific documents such as the exclusion clause and any modifications to addendums during the required listing period.
- Demonstrate competency when reviewing title documentation for property tax and scheduled fee information as well as any potential title issues.
- Understand the appraisal process and how this information is used to determine the amount of the buyout (if applicable).
- Assist transferees by answering policy specific questions regarding their relocation process and explain the benefits provided by and the forms required by the transferee’s employer.
- Maintain transferee records by updating information and required documentation in both the hard file and the core processing system (CARICS).
- Initiate relocation services in the core processing system (CARICS) and with service providers for our transferees.
- Maintain weekly contact with transferee and assist them in maximizing their benefits.
- Establish a respectful and sincere relationship with the transferee, agent, and the client.
- Communicate the necessity of the required documents and provide guidance on how they are to be completed. Enter the information from the required documents into the core processing system (CARICS) once received from the transferee.
- Effectively communicate and manage the Broker Market Analysis (BMA) process for the transferee.
- Maintain weekly contact with the listing agent regarding marketing strategies, number of showings, potential buyer comments, and price reductions.
- Understand all WHR Global and client specific documentation involved in the client’s relocation process such as the signed buyout agreement, payback agreement, etc
- Maintain and modify necessary forms including home sale marketing agreements, listing agreements, and sales contracts to reflect changes in the transferee’s relocation process.
- Accurately communicate and process any employee benefits offered by the employer for the transferee such as Location Cost Differential (LCD) and relocation allowance. Counsel the transferee on duplicate housing and temporary storage if applicable.
- Collect required paperwork from the transferee in a timely manner. Collect the appropriate closing documents.
- Accurately complete the inventory worksheet in a timely manner if the home did not sell and will be managed by inventory.
- Accurately document any home finding trips or offers in order to process applicable client benefits such as duplicate
- Calculate expense tracking for all transferrees and their benefit tier.
Position Requirements & Qualifications:
- Ability to work in a fast-paced environment with minimal supervision and regular attendance.
- Strong verbal & written communication with the ability to present information and respond to all levels of an organization both internally and externally.
- Individual must present themselves positively and professionally and maintain a strong work ethic.
- Multi-task multiple projects with excellent organizational skills and ability to meet critical time deadlines.
- Above-average language skills with the ability to read, analyze and interpret with reasoning ability skills and flexible thinking. Ability to interpret technical instructions in either mathematical or diagram form.
- Mathematical Skills with ability to calculate figures and amounts such as discounts, proportions and percentages.
- Strong organizational skills and the ability to handle multiple projects and meet critical time deadlines are crucial to this position.
- Ability to learn and retain all necessary policy, relocation, and real estate knowledge as needed for success
- High customer service model and proficient conflict resolution is essential
- This position is not eligible for 100% remote capabilities and is required to have face-to-face interactions with colleagues and be on-site in Pewaukee. Hybrid model (Wednesdays/Thursdays remote), 3 days in Pewaukee office is expectation.
- Bilingual candidates are a plus
Education & Experience:
- Associates or bachelor’s degree in applicable field is preferred (Communications, Business, Social Work, etc.)
- Sales Real Estate License is preferred.
- Previous experience in customer service is required.
