We are looking for a Administrative Assistant to join our growing team Hall Truck Center This will include cashier, accounts receivable and warranty responsibilities.The right candidate will have a strong background in accounting and dealership experience. The day to day duties include recording payments to customer accounts and maintain accounts receivable records. Takes appropriate collection action on accounts more than 30 days old. Reconciles and deposits all monies received by the dealership.

Warranty/Cashier Job Description

  • Close warranty repair orders every day
  • Submit all warranty claims daily (including GMPP claims)
  • Reconcile warranty submission logs/results with warranty tickets and resolve all warranty issues as quickly as possible
  • Be observant of related parts on each line of a repair order making sure that the parts are consistent with the related repair line.
  • Go over open repair order and warranty schedules with Service Manager weekly
  • Review and research aged items as well as correct  accounting/posting errors, etc. on assigned schedules; communicate with Comptroller on such items
  • Communicates with Service, Parts, and Body Shop departments of any warranty policy changes and helps Service Manager effect necessary change through review of RO’s for compliance and communication/training of relevant parties.
  • Works with Service Writers and Service Manager to ensure ALL tickets are closed as quickly as possible
  • Works with Cashier and Service Advisors to collect Unpaid RO’s,
  • Perform service calls to customers (for CSI purposes) to ensure ALL customers are COMPLETELY SATISFIED if/when assigned
  • Helps send out recall notice “reminders” from Hall Buick GMC on manifest lists
  • Is able to lookup relevant information on manufacturer websites; including navigating the GM Global Connect.com website to research vehicle information, GM correspondence, and GM documents necessary to complete assigned tasks
  • greets all parts & service customers at cashier window with an upbeat, cheerful, greeting (our goal is to greet our customers by name)
  • Is able to process service coupons, discounts, etc. from the cashier desk through CDK to improve customer service and eliminate unnecessary wait times
  • Is able to process preferred customer/myRewards transactions from the cashier desk through CDK to improve customer service and eliminate unnecessary wait times
  • Works with Cashier to safeguard all cash & checks to prevent loss
  • Communicates with Comptroller and/or General Manager when necessary/appropriate on any warranty collection issues, training or compliance concerns and problems, and policy and procedure non-compliance.
  • Notifies Parts department Manager of any warranty parts retention requirements outside the norm especially concerning major components i.e. transmission assemblies, engine assemblies etc.
  • Advise the Service Advisor team on repair order closing inconsistancies/errors including use of proper labor types and labor op codes.

 

 

Other Responsibilities.

  • Any other tasks as assigned in the future.
  • Flexibility to work overtime (later hours) when necessary
