Job Overview:

We are seeking an organized and detail-oriented Accounts Receivable Clerk to join our team. The ideal candidate will have a strong background in accounting and financial procedures.

 

Job Summary:

Posts customer payments by recording cash, checks, and credit card transactions. Contact customers for overdue invoices by following the collections process. Updates receivable by totaling unpaid invoices. This position is heavily focused on data entry and customer relations.

 

Essential Duties and Responsibilities and Expectations:

  • Invoice customers. Create invoices within the accounting system and save to project file. Print and mail invoices if needed. Print and mail monthly statements of outstanding invoices.
  • Collect overdue accounts. Contact customers for overdue invoices. Complete compliance tasks in project management system. Update project notes of touch points with customers: date called, summary of conversation or message left.
  • Deposits. Collect checks & cash from lock box. Record check/cash receipts in accounting system and prepare for bank deposit.
  • Credit/Debit card payments. Process credit/debit card payments with processor. Record processed payments in accounting system.
  • Record all pertinent notes in Dash or other designated job-processing software for A/R related items
  • Close project accounting files in project management and accounting systems after final invoice payment
  • Performs other related duties as assigned
  • Keep electronic devices up to date and most current software required

 

Minimum Qualifications (Experience/Education):

  • High School Diploma or GED equivalent required, college level accounting classes or Accounting Degree preferred.
  • Min of 3-4 years collections experience
  • Assertive communication skills
  • Well-organized, self-motivated, innovative, accurate, collaborative, and analytical.
  • Possess advanced computer skills with Microsoft Office, Excel, PowerPoint

 

Competencies or Knowledge, Skills and Abilities:

  • Strong interpersonal skills to help maintain positive customer relationships
  • Attention to detail
  • Knowledge of financial software
  • Basic understanding of chart of accounts
  • General math skills
  • Experience using Sage Contractor 100 accounting software or similar accounting systems
  • Ability to sort, check, count, and verify numbers
  • Ability to multi-task, prioritize and work efficiently
  • Ability to demonstrate accuracy and thoroughness, monitors own work to ensure quality and applies feedback to improve performance
  • Ability to work independently, self-starter, energetic.

 

Physical Demands & Working Conditions:

  • Occasionally lifts/carries up to 25lbs
  • May sit for long periods of time while working at a desk, typing, and/or operating a computer
  • Sometimes handles stressful situations
