OVERVIEW

Provides support to agency Finance department. Work is performed under regular supervision and is guided by well-established and specific agency policies and procedures, professional office practices.

Performs accounts payable tasks in support of the agency's accounting and financial activities. Work is performed under regular supervision and is guided by well-established and specific agency policies and procedures and state and federal regulations.

DUTIES AND RESPONSIBILITIES

  1. Prepares and codes invoices and performs related data entry.
  2. Reviews and reconciles vendor statements and resolves discrepancies with affected departments.
  3. Initiates and monitors the recurring expense payment process.
  4. Files reports and vendor payment records
  5. Collects W-9 forms and maintains related vendor files.
  6. Prepares and issues annual 1099 MISC, 1099NEC, and 1099A forms. Follows IRS back-up withholding from vendor payments and reporting as needed.
  7. Sorts vendor mail.
  8. Makes emergency payments.
  9. Prepares ad hoc and periodic financial and statistical reports
  10. Maintains vendor and payment records.
  11. Verifies proper approval exists for payment requests. Matches invoices with approved requisitions.
  12. Utilizes accounting databases, spreadsheets, and software.
  13. Produces a variety of reports including Revenue/Expense and Balance Sheet
  14. Assists Accountants and other financial professionals with creating and editing financial documents.
  15. Assists in creating Standard Operating Procedure Manuals.
  16. Maintains and updates Financial Policy and Procedures Manual.
  17. Assists the Finance Director with special projects, studies, and reports.

KNOWLEDGE, SKILLS, AND ABILITIES

Some knowledge of public accounting and bookkeeping practices; some knowledge of common office software including Excel and Word; some knowledge of the operation of the agency's programs; ability to establish and maintain effective working relationships with staff of the agency; ability to communicate effectively orally and in writing and prepare and present concise; ability to collect and compile electronically sourced or other sourced financial data and prepare reports; ability to prepare and maintain records.

TYPICAL EDUCATION, TRAINING AND WORK EXPERIENCE

High School Diploma and some administrative experience in a business office.
