Job Summary

The Assistant to the Controller is a responsible position that works directly with the Controller and assists in report preparation, allocation of costs, preparation for audits, issuance of inventory tags and maintenance of inventory records, as well as payroll and accounts payable preparation, and other routine fiscal duties.


Essential Job Duties

  • Report preparation;
  • Assist in cost allocation;
  • Assist in audits and preparation for audits;
  • Prepare bank statement reconciliations;
  • Provide backup for processing timesheets and payroll preparation, including verification of accuracy of payroll checks;
  • Perform necessary paperwork, follow-ups, and correspondence with insurance company on workers compensation claims for Work Experience;
  • Oversee the flow of computer/electronic inventory, from ordering, storage, distribution, and maintenance. Working closely with IT department on software installations and problem solving.
  • Implements inventory control procedures, coordinates and manages physical counts for State of Indiana reports.
  • Process invoices and accounts payable preparation;
  • General ledger software postings and perform changes and mapping of Department codes for GL within ADP software;
  • Process bank deposits;
  • Contact/coordinate repair needs of Region 5 offices
  • Organize office set-up, remodels, and moves for Region 5 offices
  • Input/make available budgets within automated case management system for case managers
  • Prepare/post payroll, wire transfer information;
  • May attend Workforce Board Meetings, as required by Controller or Executive Director;
  • In absence of Controller, may work with IA Executive Director and Associate Directors, to meet fiscal requirements and deadlines;
  • Daily use of financial and Microsoft Office software;
  • Assist with processing E-Verify documentation;
  • Other duties as assigned.

Working Conditions

Works standard 8:00 am to 4:30 pm, with flexibility in schedule when pre-approved by Supervisor. Majority of work performed in office, but maybe required to travel within Region 5 for meetings, training or to provide on-site assistance to service providers.


Education and Experience

Degree in Accounting or Business preferred. Minimum of one-year full-time related accounting experience required. Electronic and manual double entry bookkeeping; federal and state payroll regulations; filing systems; accurate and sufficient keyboarding; intermediate math skills.


Communication

Good written communication skills are essential in assisting with report preparation and communicating with co-workers, vendors and others in email and other formats.
