Whitman, Requardt & Associates, LLP (WRA) is a dynamic, innovative engineering, architectural, and planning firm with a rich history of delivering quality service to clients. We are seeking a motivated and detail-oriented Entry-Level Proposal Coordinator to join our team in Baltimore, MD. The ideal candidate will play a critical role in supporting the proposal development process, working closely with senior staff to create compelling, high-quality proposals that win new business for the firm. This is an excellent opportunity for a recent graduate or someone early in their career to gain experience in a fast-paced, professional setting.

Key Responsibilities:

  • Assist in the preparation and production of proposals, qualifications, and presentations.
  • Collaborate with technical staff to gather information, format content, and ensure compliance with client requirements.
  • Maintain and update proposal content libraries, resumes, and project descriptions.
  • Conduct research to support proposal content and strategy.
  • Coordinate with internal teams to meet deadlines and deliver high-quality materials.
  • Assist in the management of proposal schedules and deadlines, ensuring timely submissions.
  • Proofread and edit proposal content for clarity, grammar, and consistency.
  • Review of certificate of insurance.
  • Draft and produce contractual agreements for Partner review.
  • Support other marketing and business development activities as needed.
  • Provide administrative support to Partner as needed.

Qualifications:

  • Bachelor’s degree in English, Marketing, Communications, Business, or a related field.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to work independently and collaboratively in a team environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Familiarity with Adobe Creative Suite (InDesign, Photoshop) is a plus.
  • Strong time management skills and ability to handle multiple projects simultaneously.
  • A proactive attitude and willingness to learn.
  • Must be able to work onsite in our Baltimore, MD office, this is not a remote position.
  • Some overtime work may be required.
