We pride ourselves on providing a safe and welcoming atmosphere and expect our Patient Coordinators to be responsible and keep our quality of standards in the front office by demonstrating great customer service skills, paying attention to details and practicing common sense.
Daily Responsibilities:
· BE TO WORK DAILY 20 MINUTES BEFORE PATIENTS ARE SCHEDULED TO ARRIVE, OPEN DOOR 10 MINUTES PRIOR TO SCHEDULED PATIENTS IN THE MORNING AS WELL AS RETURNING FROM LUNCH.
· MAKE COOKIES UPON ARRIVAL DAILY AND BAG SO THEY ARE READY FOR PATIENTS. KEEP FRIDGE AND COFFEE WELL STOCKED.
· HAVE SCHEDULES PRINTED AND READY TO DISCUSS AT MORNING HUDDLE; FINANCES, APPOINTMENT CONCERNS, ETC... COLLECT PAST DUE PAYMENTS AS PATIENTS ARRIVE.
· ASSURE NEXT DAYS SCHEDULE IS FULL AND BUMP PATIENTS UP AS NEEDED TO FILL IN, CAN PRINT SCHEDULE AT END OF DAY FOR THE NEXT DAY.
· GREET ALL PATIENTS UPON ARRIVAL WITH A WARM, FRIENDLY SMILE AND CHECK THEM IN AND BID THEM FAREWELL FOLLOWING THEIR APPOINTMENT.
· SCHEDULE APPOINTMENTS FOR PATIENTS, AS NEEDED AND VERIFY, THEY HAVE NO UPDATES THAT NEED TO BE MADE IN THEIR CHARTS.
· ANSWER PHONES AT ALL TIMES EXCEPT WHEN HELPING A PATIENT THAT’S IN THE OFFICE.
· MAINTAIN RECEPTION AREA BY KEEPING IT CLEAN AND FREE OF CLUTTER, CHECK PATIENT RESTROOMS HOURLY FOR CLEANLINESS & STOCKING PURPOSES, WIPE DOWN HIGH TRAFFIC AREAS.
· ACCEPT DELIVERIES AND MAIL, ORGANIZE THEM TO BE DISTRIBUTED TO THE CORRECT RECIPIENTS.
· WHEN INVISALIGN OR RETAINERS ARE DELIVERED, UPDATE PATIENT CHART, MAKE SURE THEY HAVE A DELIVERY APPOINTMENT SCHEDULED, PLACE IN LAB AND NOTATE IN CHART WHERE YOU LEFT IT.
· CONTINUALLY WORK ON “Pt’s with no future appointment” LIST TO KEEP IT SHORT AND MANAGEABLE.
· CLOSE FRONT OFFICE AND WAITING ROOM AT END OF EACH WORKING DAY.
· COMMUNICATE ANY SCHEDULE OR PATIENT CONCERNS WITH BACK OFFICE TO KEEP OUR PATIENT FLOW TIMELY.
· SEND DAILY REPORT TO DOCTORS AND MANAGERS THAT INCLUDES ALL NEW PATIENTS YOU SCHEDULED, ALL EXISTING PATIENT NO SHOWS AND HOW YOU FOLLOWED UP AS WELL AS ANY PATIENTS YOU REFERRED OUT AND WHO THEY WERE REFERRED TO.
ALL NO SHOW PATIENTS SHOULD BE CALLED WITHIN 10 MINUTES OF MISSING THEIR APPOINTMENT.
Requirements
- At least 1 year of experience in a dental front office setting
- Customer Service experience
- Passion for delivering the best experience
- Ability to collaborate and be team-oriented
- Fluent in English and Spanish
Job Type: Full-time
Salary: $16.00 - $22.00 per hour DOE
