POSITION OVERVIEW

As a CapEx Project Coordinator, you will play a crucial role in supporting the Capital Regional Project Manager in various stages of project execution, including planning, scheduling, and cost management. This position is instrumental in coordinating with multiple departments to ensure seamless execution of planning, permitting, design, procurement, construction, and final closeout activities. You will be responsible for maintaining detailed cash flow forecasts and ensuring daily tracking and coordinating project progress to meet milestones and deliverables.

KEY RESPONSIBILITIES

Project Management:

  • Act as the liaison between corporate finance teams, external vendors, lessors, third-party powers, and owner relations teams for capital projects
  • Manage and coordinate capital projects as the primary contact, ensuring projects are completed on time and within budget.

Forecasting and Financial Management:

  • Conduct ongoing financial analysis, including variance analysis and forecasting, to identify trends and support strategic decisions.
  • Collaborate with operational teams, providing daily coordination and support for ongoing projects.

Operations Management:

  • Compile and distribute weekly capital expenditure reports, detailing cost allocations and forecasting quarterly and annual financial projections.
  • Monitor and report on project financials, including invoice updates budget overruns, and significant expenditures.
  • Participate in monthly strategy calls with Joint Venture partners to discuss project updates, life safety initiatives, and other critical matters.

CANDIDATE QUALIFICATIONS and EXPERIENCE

Educational Background:

  • An associate degree is required; a bachelor's degree is preferred.

Experience:

  • 3-5 years experience in capital planning and project management, ideally in sectors such as Senior Living, multi-family real estate, hospitality, or similar fields.
  • Experience in facility management, design, renovation, or construction is highly advantageous.
  • A certified Facility Manager (CFM) or equivalent is desirable.
  • Proficiency in TELS is necessary, and experience with Yardi is beneficial.

Skills:

  • Exceptional time management, communication, and organizational capabilities.
  • Strong knowledge of accounting and financial principles, with expertise in budget management.
  • Highly self-motivated with meticulous attention to detail and robust problem-solving skills.

WORK SETTING

  • This is an in-person role at our corporate office in Scottsdale, AZ.
  • Regular working hours are Monday to Friday.

ADDITIONAL REQUIREMENTS:

  • Candidates must live within 30 miles of Scottsdale, AZ, or be willing to relocate to the area.
