Job Description

The Medical Staff Coordinator will be responsible for maintaining medical staff and allied health professionals credential files. Responsible for review, analysis and follow up of credentialing and privileging applications, maintaining strict confidentiality and ensuring compliance with organizational policies and accrediting and regulatory agencies.


Education/Experience

Education: High School Diploma

Experience: Credentialing experience - preferred


Job Duties:

  • Queries appropriate databases and assists the Medical Staff in assuring that all individuals provide services within the scope of their training, licensure and individual privileges granted.
  • Develops and ensures physician orientation processes.
  • Reviews all credential applications for completeness in accordance with Medical Staff Bylaws.
  • Assembles all information and prepares credential files for review by Department Chairman and assures follow through of application to the appropriate committees and Board.
  • Maintains on-going review system for reappointment and to keep current other necessary materials/information for staff members and others with privileges, according to time schedules established by expirations.
  • Provides each member of the Medical Staff, prior to expiration of their term of appointment, with a reappointment packet, completes processing and prepares for review by the Credentials Committee, MEC and Board.
  • Receives and processes through appropriate Medical Staff Committees, all requests for changes in privileges and/or changes in staff status.
  • Prepares agenda, attends, and maintains Medical Staff committee meeting minutes and Executive Committee meeting minutes.
  • Prepares agenda for various committee meetings.
  • Generates requests to required sources for medical staff applicants and monitors responses to insure timely credentialing.
  • Obtains copies of all licenses, certificates, registrations, and insurance coverage.
  • Maintains files of medical staff members to insure all required information is current in order to pass inspection of any outside entity and does so in a timely and organized manner and with strict confidentiality.
  • Enters and re-enters all data in the credentialing software system and generates reports as required.
  • Prepares and disseminates reference inquiries to physicians, hospital affiliations and medical schools.
  • Assist the Medical Staff in conducting and effective Core Measure program.
  • Other duties as assigned including, but not limited to Quality Improvement activities or other duties as needed.
  • Works with the Chief of Staff in development of Medical Staff Committee members for each calendar year.
  • Schedules Medical Staff Meetings and Education Programs as needed.
  • Notifies Medical Staff Members of Meetings.
  • Coordinates and keeps all information related to OPPE and FPPE processes according to requirements.
  • Prepares and disseminates monthly medical staff call schedule and updates to provider roster.
  • Oversees and conducts application/reapplication process from pre-application to appointment/reappointment.
  • Maintains current/up-to-date files on Medical Staff members.
  • Ensures application information is properly verified.
  • Works closely with and assists Medical Staff Officers and Chief of Staff to assure Medical Staff Bylaws are followed.
  • Responds to requests from Medical Staff for assistance with special projects or to address special concerns.
  • Responds to associate questions concerning policies, correspondence, etc. accurately and properly.
  • Utilizes by laws as a guide for the credentialing process and develops policies and procedures which enable completion of the application/credentialing process.
  • Ensures new applicants and reappointment applicants are forwarded through the proper channels/committees.
  • Serves as liaison between Administration and Medical Staff.
  • Keeps Administration informed promptly of any unusual questions or concerns.
  • Makes recommendations to Credentialing Committee regarding Performance Improvement and policy.
  • Informs other departments of additional changes in the Medical Staff Membership.
  • Learns new tasks quickly and completely.
  • Maintains high degree of knowledge of new developments in work areas and incorporates new information in daily work.
  • Able to prioritize work load to make sure all tasks are done as needed.
  • Conducts self in professional manner.
  • Takes pride in work and strives for few errors.
  • Maintains confidentiality of all patient, hospital, physician, and/or departmental information.
  • Acts in such a manner that contributes to a quiet working environment in the department.
  • Should be accountable for work quality and quantity.
  • Should be able to manage workload with minimal supervision.
  • Other duties that may be assigned.
