Overview:

The Client Services & Permitting Coordinator at DMH plays a crucial role in maintaining seamless communication and efficient administrative support across the organization. This position is responsible for coordinating customer interactions, managing all permitting for the EV and service departments, and ensuring the smooth operation of the office environment.

Key Responsibilities:

  • Customer Coordination & Communication: Serve as the first point of contact for clients, answering calls and directing them to the appropriate personnel. Provide exceptional service by addressing customer inquiries and coordinating follow-up as needed.
  • Permitting: Oversee all permitting processes, ensuring the correct documentation is prepared and submitted for building, electrical, and fire alarm permits. Efficiently collect, organize, and file necessary information, ensuring compliance with local building codes and regulatory requirements.
  • Office Management: Maintain a well-organized office by managing supplies, coordinating office activities, and overseeing equipment upkeep, including kitchen supplies.
  • Administrative Support: Assist with various administrative tasks to support day-to-day office operations, including data entry, scheduling, and inter-departmental communication.

Submission and Tracking: Submit permit applications to the relevant authorities promptly. Track the progress of permit applications and proactively address any issues or delays. Log and track all permit applications and their status for every job, including closeout and inspection processes.

Utility Communication: Work with the electrical utility companies as needed on all service requests or required paperwork. Apply for and track any utility rebates as needed for a project. Follow up with utility providers for project updates.

  • Communication & Interpersonal Skills: Strong communication abilities, with the capability to manage multiple customer interactions professionally.
  • Multitasking & Organizational Skills: Ability to juggle various responsibilities while maintaining attention to detail.
  • Regulatory Knowledge: Familiarity with local building requirements and proficiency in navigating permitting processes with government agencies.

Qualifications:

  • 1-3 years of customer service, administrative assistant, permitting coordinator or similar role in the construction industry.
  • High School diploma or equivalent
  • Exceptional attention to detail and accuracy in permit processes and documentation.
  • Ability to manage multiple priorities, coordinate with various stakeholders, and maintain efficient communication.
  • Excellent written and verbal communication skills for effective interaction with building officials, customers, and internal teams.
  • Excellent computer skills including Microsoft Office suite, Bluebeam, Procore, BuildOps, and other industry-related tools.
  • Strong problem-solving and decision-making capabilities.
  • Ability to work independently and collaboratively in a fast-paced environment.
