The Database Specialist is responsible for managing donor and fundraising data, gift processing, CRM administration, reporting, and fundraising information systems for Blue Ridge Care.
This role serves as the primary administrator of the organization's fundraising database, ensuring donor information, gifts, pledges, campaigns, and fundraising records are accurate, secure, and reliable. Working closely with the Development and Finance teams, the Database Specialist helps ensure every donor gift is processed accurately and every fundraising decision is supported by quality information.
This position plays a critical role in supporting donor stewardship, fundraising effectiveness, campaign tracking, and organizational success.
Gift Processing & Donor Administration
Process charitable contributions, including online gifts, checks, stock gifts, donor-advised fund grants, matching gifts, tribute and memorial gifts, gifts-in-kind, and other donations.
Ensure gifts are accurately recorded, coded, receipted, acknowledged, and attributed to the correct funds, campaigns, appeals, and designations.
Manage pledge administration, including pledge entry, tracking, reporting, reminders, and reconciliation.
Coordinate gift reconciliation activities with Finance.
Support acknowledgment and stewardship processes that ensure donors receive timely and accurate communication.
Develop and maintain procedures that promote consistency and accuracy in gift processing.
Serve as the primary administrator for the Development Department's CRM platform.
Maintain accurate donor, constituent, organization, and fundraising records.
Perform data audits, cleanup, deduplication, record merging, and quality assurance activities.
Configure and maintain donation forms, campaigns, events, dashboards, workflows, and reporting tools.
Create and maintain documentation, standard operating procedures, and user guides.
Provide CRM support and training to Development staff.
Collaborate with vendors and internal stakeholders to optimize system performance and functionality.
Create and maintain reports, dashboards, and fundraising data summaries.
Prepare recurring and ad hoc reports for Development leadership, Finance, executive leadership, and the Board of Directors.
Monitor fundraising activity, donor trends, campaign performance, and pledge fulfillment.
Provide accurate and actionable information that supports fundraising strategy and decision-making.
Conduct prospect research and donor information gathering.
Support special projects and department initiatives.
Assist with purchasing, vendor coordination, and invoice processing as assigned.
Participate in team meetings, professional development opportunities, and organizational activities.
Perform other duties as assigned.
Required Qualifications
Experience in database administration, gift processing, CRM management, fundraising operations, or a related field.
Experience working with donor databases, fundraising software, or CRM platforms.
