General Description

The Financial Assistant works with the Executive Director to provide accounting services and administrative support for Montessori Northwest. The hire may be an employee or contracted position.

 

Work Schedule

  • This position is 10-20 hours/week
  • Monday – Friday, business hours, plus evening and weekend events as scheduled
  • Attend meetings
  • In-person or remote option for the right candidate


Requirements

  • Knowledge of generally accepted accounting principles
  • Knowledge of accounting policies and procedures
  • Proficient in QuickBooks
  • Knowledge of general ledger account reconciliations
  • Experience managing accounts payable and receivable
  • Administrative skills to monitor financial data and interpret financial policies and procedures
  • Communication skills to communicate with employees, learners, and vendors
  • Computer, software, and word-processing skills 
  • Manual skills for typing, keying, filing, and storage of records

DUTIES AND RESPONSIBILITIES

Administrative Operations

  • Assist the Executive Director in general administration and financial record management
  • Track vacations and personal time accrued and used for all staff
  • Manage annual health benefit renewals and all additions and deletions to MNW health plan & health savings plan by tracking eligibility
  • Assist with the creation and completion of employee and contracted workers' agreements
  • Complete annual worker’s compensation insurance renewal and reporting


General Accounting

  • Maintain ledgers
  • Allocate income and expenses to corresponding programs
  • Prepare financial statements and reports including the profit and loss statement and balance sheet and budget versus actual
  • Assist with budget development, review, and revisions
  • Pay bills, expense reimbursements, and all payment requests
  • Process sales receipts and payments received; tuition payments, book purchases, donations, workshop payments, and consultations.
  • Track and record payments received through Stripe
  • Make bank deposits and monthly bank account reconciliation
  • Maintain and monitor for accounts receivable
  • Enter monthly accrued tuition income
  • Create tuition invoices 
  • Track due dates and issue reminders for payments due and statements as necessary
  • Assess fees for late payments, insufficient funds, and returned checks
  • Review finances for compliance
  • Communicate with learners regarding fees incurred and outstanding account balances
  • Inform the Executive Director of any outstanding learner debt that violates learner enrollment agreements
  • Apply all scholarship awards
  • Process monthly payroll, noting absences, vacations, overtime, and total hours
  • Process all new hire paperwork
  • Process all final payroll information with any termination of employment
  • Complete annual worker’s compensation insurance renewal and reporting
  • Meet with the Executive Committee and Board of Directors; answer subsequent questions

Compensation and Benefits

Decisions about starting wages are based on the candidate's education, experience, and relatedness.

  • $21.00 - $31.00 per hour
