We are looking for PA to GM - Melia Serenity Cam Ranh (pre-opening)

Mission: Responsible for performing administrative and secretarial duties to Executive Office and General Manager.

Main responsibilities:

  1. Maintain strict confidentiality on all matters relating to Melia International, including all other internal matters directed to the General Manager’s Office and the Hotel.
  2. Provide full PA and secretarial assistance to the General Manager, including preparation of correspondence, screening telephone calls, and organizing appointments.
  3. Liaise with Department Heads and associates regarding necessary follow-up on queries, deadlines, requests and special functions instigated by the General Manager.
  4. Liaise with the Executive Committee members to ensure reporting deadlines to Division/Regional Offices and Owners Representatives are met.
  5. Coordinate Monthly Management Report to ensure Regional deadlines are met.
  6. Attend and transcribe minutes of weekly Department Heads Meeting for distribution to Department Heads.
  7. Coordinate travel arrangements for the General Manager, Excom and Department Heads as requested.
  8. Draft Guest Questionnaire responses to be approved and signed by the General Manager.
  9. Assist Department Heads with preparation of correspondence in answer to guest queries and complaints.
  10. Maintain an efficient filing system.
  11. Represent the General Manager’s Office at guest/staff functions as required.
  12. Coordinate and allocate overflow work amongst hotel secretaries.
  13. Assist in preparing the yearly Budget documents.
  14. Sort and distribute daily mail and coordinate courier services.
  15. Liaison for office equipment and maintenance requirements (i.e. copier, printers), including control and cost containment of Executive Office stationery supplies.
  16. Ensure compliance with legislated health and safety requirements within the workplace.
  17. Comply with all Corporate and Hotel Standards and Procedures.
  18. Actively promote a work environment that cares for guests and associates alike.
  19. Prepare “Manager on Duty” roster.

Main requirements:

  • Fluent in English & Vietnamese, both speaking and writing.
  • Secretarial experience.
  • Knowledge of hotel operations.
  • Strong organization and planning skills.
  • Proactivity and innovation.
  • External: 2 years in a similar position in the hospitality industry.
  • Internal: Minimum 1 year experience in administration or guest service job.
