Bid Coordinator

We are seeking a highly organized and proactive Bid Coordinator to oversee daily bid operations, including monitoring bid aggregators and managing inbound Invitations to Bid (ITBs). The successful candidate will coordinate closely with our team of estimators to streamline bid processes, ensure timely submissions, and assist in all pre- and post-bid activities.
Responsibilities:
- Monitor daily bid opportunities through platforms such as ConstructConnect, Bluebook, Planhub, and Penn Bid.
- Manage and prioritize inbound ITBs to ensure all opportunities are captured and addressed.
- Daily coordination with estimators to discuss workload, identify any bottlenecks, and adjust deadlines as needed.
- Assist in the preparation of bid packets and ensure readiness for submission.
- Log all outgoing proposals and set follow-up actions to track bid progress, aiming to conclude each bid as either closed-won or closed-lost within specified days.
- Track revisions to estimates and ensure accurate and up-to-date logging of the latest versions.
- Assist in completing and submitting the New Job Won form and manage the contract signing process.
- Ensure compliance with union waivers, bond applications, and gather necessary information for lien waivers, certified payroll, COIs, and other pre-job requirements.
- Coordinate and schedule hand-over meetings, effectively transitioning responsibilities to the Project Manager with support from administrative staff.
Qualifications:
- Proven experience in bid coordination or a similar role in the construction industry.
- Strong organizational and time management skills.
- Excellent communication and interpersonal skills to effectively collaborate with team members and external partners.
- Proficiency in using bid aggregator platforms and Microsoft Office Suite.
- Ability to work under pressure and meet tight deadlines.
