Position Title: Payroll Specialist

Reports To: Vice President of Human Resources


Overview of Position: The Payroll Specialist is responsible for the accurate and timely processing of company payrolls. This involves a variety of tasks, from data entry and calculations to ensuring compliance with tax laws and regulations. This is a hybrid role. (3 days in office, 2 WFH)


Primary Responsibilities:

PAYROLL:

1. Process payroll for salaried exempt, non-exempt, and hourly employees administering tax and direct deposit information, administering regulatory requirements, e.g., garnishments, tax levies, and support orders, and other adjustments to pay, as necessary.

2. Oversee site level payroll across a multi-state organization utilizing ADP Workforce Now HRIS system and be the payroll administrator for the site payroll processors.

3. Serve as payroll backup to the site payroll processors as far as covering for leaves, vacations, etc. when they are out.

4. Support the finance team on various payroll related responsibilities such as annual bonus preparation and review, tax matters, audit support, data requests, etc.

5. Maintain payroll best practices to improve efficiency and consult with human resources team to improve payroll and HRIS processes.

6. Assist in payroll systems upgrades and changes.

7. Assist in the preparation of quarterly tax reports and submit as required.

8. Respond to unemployment claims in a timely manner; provide support to site payroll processors with their unemployment matters.

9. Maintain employee records in ADP Workforce Now.

10. Administer the time and attendance policy and paid leave policy for all employees.

11. Produce scheduled and ad-hoc reports pertaining to payroll and human resources requirements.


HRIS ADMINISTRATION:

1. Assist with ADP Workforce Now HRIS modifications, and add-ons to the system.

2. Maintain complete electronic employee personnel files, records, and other documentation for employees, including processing new employees, forms for employment status changes and maintaining timely and accurate files. Coordinates pre-employment paperwork and processes.

3. Maintain employee personnel files and Workforce Now HRIS system records.

4. Generate ADP Workforce Now reports for payroll, benefits, and other employee data as required, utilizing knowledge of the various Human Resources disciplines.

5. Assist with files/reports such as the EEO1/Vets 100, annual non-discrimination testing for benefits plans, annual reports, as well as other special and ad hoc reports as requested.

6. Recommend business process improvements having an HRIS component.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets and fax machines. This role also leads the workforce in a heavy industrial setting requiring a sense of high-level safety reverence using the required PPE for the environment.

While performing the duties of this job, the employee is regularly required to talk or listen. The employee is frequently required to stand, walk; sit; use hands to finger, handle or feel; and reach with hands and arms. This job requires the employee to lift at least 25 pounds infrequently.


Required Education and Experience:

1. Bachelor’s degree or equivalent

2. ADP Workforce Now experience


Preferred Education and Experience:

1. 3 years human resource experience

2. Certification in Human Resources

3. Microsoft Office and Excel
