Trade Compliance/Export SpecialistThe Trade Compliance/Export Specialist is responsible for ensuring that the company's trade practices are in compliance with local and international regulations in regards to the movement of products to our customers. They are responsible for the accuracy and integrity of all products we ship. This position will assist in the coordination of the movement of goods and products from one destination to another. This could be from one country to another or within the domestic United States. This job involves ensuring the correct paperwork is in place for shipments and their exporters. They will also monitor freight through the entire process and work to resolve any issues.Key ResponsibilitiesMaintain and keep documents traceability on import/export process to ensure Veeder-Root is complaint for the Duty Drawback Program.Obtain inland BOL, record ITN number, and file accordingly by country.Label the export for inland pick by Freight Forwarder appointed truck.Annual updating of Free Trade Agreement information.Qualify newly exported parts for the FTA when identified.Update parts with HTS codes/CCL restrictions.Update parts both through Windchill and newly exported manufactured/purchased goods.Pull ITRAC data for previous months imports through ACE.Review data and update inform for DHL KPI clearing good timely.Download/Review export data from ACE.Identify compliance risks.Prepare and process exporting documentations such as customs declarations, commercial invoices, and other country specific customs related clearance requirements.Complete export documentation for Air/LCL and Ocean shipments.Complete BOL/VGM statement for all ocean container shipments.Process manual requests for documents needed for compliance such as small package.Ensure compliance with international trade regulations such as export controls, trade restrictions, and sanctions.Clear all compliance holds.Review/update end user certificates for customer orders.Maintain accurate records of all export transactions and related documentation.Maintain Hockman Lewis releases.Filing of blue shippers making of BOL and send to Finance.Tracking of invoiced exports not picked up reporting to Finance at end of month.Maintain up to date standard work instructions.Assist with special projects, such as process improvement initiatives.Additional ResponsibilitiesCollaborates and communicates with all US carriers and freight forwarders (preferred and non-preferred), customer service representatives, service providers, and others involved in the shipment of products to ensure accurate and timely delivery of goods.Ensure carriers are aware of plant schedule changes.Schedules large shipments and plans logistics to ensure timely pick up of goods.Tracks, traces, and updates the status of outgoing shipments.Maintaining the container loading spreadsheet and schedule.Weekly container status call participation.Actively identify any issues that may impact shipment status.Works to resolve any issues that may arise with the delivery of goods cross shipments, missing shipments, document issues, etc.Prepare and process shipment documentations such as Bills of Lading.Prepare and process exporting documentations such as customs declarations, commercial invoices, and other country specific customs related clearance requirements.Process manual requests for documents needed for compliance such as small package.Verify accuracy of shipment information, such as weight, volume, product description, and pricing.Ensure accurate and timely billing of all shipments.Keep accurate files of good shipped.RelationshipsReports to Trade Compliance and Exporting Supervisor.Works with Shipping and Receiving department daily.Works with Customer Service Department Daily.Works cross functionally with Gilbarco Logistics when necessary.Works with other plant teams to ensure readiness and shipment of goods.Measures of PerformanceCustomer Satisfaction.On Time Delivery.Audits.Quarterly Catchups/KPIs.Required trainings completed.Use of VBS tools to maintain processes and drive improvements.Who You Are (Qualifications)Associate's degree preferred, not required.Experience working in a logistics or export related role is preferred.Knowledge of logistics and transportation industry practices and terminology is preferred.Understanding of international trade regulations and customs procedures.Excellent attention to detail and organizational skills.Strong communication skills, both written and verbal.Ability to work well under pressure and multi-task in a fast-paced environment.Proficiency in computer software applications, such as Microsoft Office.Ability to work independently as well as part of a team.Flexibility to work different hours as needed to fit the business needs.Personal Trait ProfileQuality First: Plan & execute accurate, complete, timely and reliable work.
