Upholstery Admin


Job Summary:

The Upholstery Admin is responsible for providing administrative support to the Upholstery Department. This role involves coordinating and managing various tasks to ensure smooth operations, including scheduling, inventory management, customer service, and documentation. The ideal candidate will be highly organized, detail-oriented, and capable of multitasking in a fast-paced environment.


Key Responsibilities:


Administrative Support:

  • Assist the Upholstery Coordinator with daily administrative tasks.
  • Maintain and organize files, records, and documentation for the Upholstery Department.
  • Prepare and distribute reports, memos, and correspondence as needed.

Scheduling and Coordination:

  • Schedule appointments and coordinate meetings for the Upholstery team.
  • Manage the calendar for the Upholstery Coordinator, ensuring timely updates and reminders.
  • Coordinate with clients and vendors to schedule services and deliveries.

Inventory Management:

  • Monitor and manage inventory levels for upholstery materials and supplies.
  • Place orders for materials and supplies as needed, ensuring timely delivery.
  • Maintain accurate records of inventory transactions.

Customer Service:

  • Serve as the primary point of contact for customer inquiries and concerns related to upholstery services.
  • Provide excellent customer service by addressing questions, resolving issues, and providing updates on service status.
  • Maintain positive relationships with clients, vendors, and team members.

Documentation and Reporting:

  • Prepare and maintain detailed records of upholstery projects, including work orders, invoices, and delivery receipts.
  • Assist in the preparation of budgets, financial reports, and other departmental documentation.
  • Ensure all documentation is accurate, up-to-date, and easily accessible.

General Office Duties:

  • Answer phone calls, emails, and other correspondence in a professional and timely manner.
  • Assist with general office tasks such as photocopying, scanning, and filing.
  • Support other administrative staff as needed.


Qualifications:

  • High school diploma or equivalent; additional education or certification in office administration or a related field is a plus.
  • Proven experience in an administrative role, preferably within the upholstery or furniture industry.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • Detail-oriented with strong problem-solving abilities.
  • Knowledge of upholstery materials, processes, and terminology is a plus.
  • Speaking Spanish is a plus
